There may be instances where you need to give a user access to your database, but not allow them to edit any records or add anything new. To do this:
In Dimensions, click System, Security, Profiles.
Use the menu at the top and either, duplicate an existing profile, or insert a new one.
Enter a name and description.
If it isn't saved yet, permissions can be altered, otherwise, click Edit to amend the permissions.
To make all granted permissions read-only, on the right, click Default Options To and changing this to be View Access. Then when enabling any section, the access will be read-only as can be seen on the right.
One option is to remove access to a module altogether, to do this, next to the module text, for example Sales Ledger, click the green arrow icon.
To lock the system right down, disable access to all ledgers aside from the Enquiry module, which will only give them access to the Home module and the Enquiry windows.
To grant access to other parts of the database, whilst still restricting them from editing, click the module name to expand the selected module.
On the text that has expanded, ensure that any of the subtext lines are marked with a red cross, that meets the following names:
Records
Transactions
Period End
Purge
Note: For system control, you may want to disable General as well, to prevent them from editing the System Options, Transaction Process, Data Utilities or Ribbon Configuration.
To check they are added, click System, Security, User Records.
To add the new security profile, click a blank row below your existing users.
On the menu bar, click Edit.
To assign them the profile just created, either type the name of the profile, or in the bottom right, click the magnifying glass icon and select the new profile.
