Maintain a user security profile

The below takes you through creating and maintaining security profiles.

To manage and maintain user profiles, click System then click Profiles.

You can use security profiles to control user access to every function within the system. There are a number of profiles available already. These are to provide a starting point for creating role-based security profiles.

Note: You must be connected as a user with the correct privileges to insert or edit security profiles.

Edit or insert a security profile

  1. Click System then click Profiles.

  2. Click Insert.
    Note: To locate an existing profile, click Find.

  3. Enter a unique code then enter a description.

Other options are available when editing or inserting a security profile, see the below:

Option

Description

Default Menu Items To

  • Enabled: All menu items are enabled and remove the required items manually.

  • Disabled: All menu items are disabled and add the required items manually.

Default Options To

This drop down saves time if the profile you insert is for a group of users who require restricted access. Select from:

  • No Access: Denies access.

  • View Access: Read only access.

  • Full Access: Full read and write access.

Menu Items

The individual entries at each level have a tick to indicate that they're enabled, or a cross to indicate that they're disabled.

Levels

The levels feature is a part of segregation of duties and users can assign user access down to individual record level.

  • E: Edit permissions.

  • W: Work with permissions.

You can also set exact permission e.g. work with only level 12. In the main menu, these are read-only. These properties are set in the footer of the options pane.

Options

The security status for each option is displayed. For actions, these are enabled or disabled, for fields these are:

  • No Access: Access is denied.

  • View Access: User is given read-only access.

  • Full Access: User is given full read/write access.

To change the security status for an option:

  • Click the current status then select the status required.

The levels properties are set in the footer of this pane.
