User Record - Options
Before using this window you should log in with the User Id of MSTR or SA. Other Users can have restricted access to this window, if their privileges allow.
The User Record Options function, found on the User ribbon, opens the Options window. The Options window enables you to:
Change your own password (only the System Administrator can change other User's Passwords).
Select which startup window will be displayed for each User ID.
MSTR User: When a new database is created, a Master User is created with the same name as the database and a User Id of MSTR, the initial password for this user is given. On the same wizard window, you have the option to create a User record for the System Administrator.
Options
Select a User from the User Record list before clicking on the Options icon. The Options window will then open for the selected User record.
Form
Old/ New Password - Change the User's Password. You must be logged in as the password owner or as the System Administrator to change the password for the selected User.
Master Status - This option grants special privileges to certain features, it should not be changed. See Master Status section, below.
WFF Administrator - This option grants special privileges to certain features in Workflow Forms, and should be restricted to the System Administrator or MSTR User. See also: Workflow Forms on Records, Workflow Forms on Transactions
Service Pack Access/ Path - This permission should be restricted to the System Administrator or the MSTR User. When ticked, the Service Pack Path button is displayed, use this button to set the path to the location where the Service Packs have been installed. See the Service Pack Access section, below.
HTML Help Location - this allows you to set the location where the Help system are held. This can be helpful if you want to hold the Help system on your server. See the HTML Help Location section, below.
Crystal Reports Location - this allows you to set the location where the files for Access Crystal Reports are held. A new window opens enabling you to specify the location path. The location path field is blank by default which means the standard location will be used, e.g.:
\Program Files\Access Applications\Dimensions\Accounts\VersionNumber\Access Reports\SQL\
The reports must be placed in sub folders of a folder called SQL. The path entered must end with the folder that contains the SQL folder. The sub folders that contain the reports themselves must be given module names e.g. Sales for the Sales Ledger.
Documents Location - this allows you to set the location where this User's Documents are held. This applies to documents that are attached to records (not via ACD) and the "Save E-mailed reports as Documents" option. If no location is set here, the system defaults to the location set in System Options - Documents tab. If no default has been set there then the location will default to the \My Documents\Dimensions Reports\ folder \My Documents\Horizons Reports\ folder on your local machine.
If you are using the Access Document Management (ADM) application to manage your documents, then the Documents Location option will not be available.
ACD Documents Location - this allows you to set the location where the files for ACD Documents are held. We recommend that a central location is specified (i.e. a shared folder on your network) for access by multiple users. The default for this field is blank which means the standard location will be used, e.g.:
\Program Files\Access Applications\Dimensions\Accounts\VersionNumber\ACD\SQL
Reports to file Location - this allows you to set the location where reports and documents (e.g. Sales Invoice) are held. If you don't set a location here then the location will default to the \My Documents\Dimensions Reports\ folder \My Documents\Horizons Reports\ folder on your local machine.
BACS Export - if you have set a default location for the BACS Export file in Purchase Ledger Options, this allows you to choose whether BACS Export files created by this user will be sent to that central location or to the location for file reports for this user.
Set STARTUP Module - This menu allows you to select the window that is first displayed when this User logs on to Accounts. The Language currently assigned to this User is also shown. If other languages have been set up, you can change this User's language using this menu bar. The Multi Language feature is not available in Dimensions Lite. See the Startup Module section, below.
Access Document Management (ADM)
If you are using the ADM application then the following fields are available:
ADM Login Details - If the User is to have access to the ADM application, a User account must be first created for them in the ADM application and these ADM login details must be entered here. Once these details have been entered, they are validated each time the ADM application is opened in order for you to access the Documents.
Print a barcode - for Purchase Invoice/Credit Notes. This option prints a barcode that will identify the purchase invoice or credit note. The barcode can then be attached to the transaction document and the scanned into the Access Document Management (ADM) application. ADM will then make the connection between the document and the transaction. You will need a barcode printer to print the barcode.
Master Status
When a new database is created using the New Database Setup Wizard, a Master User is created with the same name as the database and a User Id of MSTR, the initial password for this user is given.
The option to create a User record for the System Administrator (SA) is found on the same window of the wizard.
User records
These two User records have a special status within the system and access privileges to all functions:
MSTR - Password = as given/entered on the database setup wizard; Security Profile = MASTER
SA- Password = the System Administration password for the SQL database to which you are connecting; Security Profile = MASTER
The Master Status option, found on the Options window, will have been set for both these Users and it should not be changed.
There must be at least one user with Master status.
Users with this Master Status option selected have special privileges within the system.
Note: 'Special Privileges' means that you are always allowed to log in even if it appears that you are already logged on; this may be useful as a part of recovery from a system crash. In this instance, logging back in will terminate a previous session at its next navigation action.
The User Id 'MSTR' and the User Id 'SA' should not be used on a day to day basis; they should be reserved for use when actions are needed that only a User with this special Master Status can action.
Security Profile
An initial Security Profile with the name MASTER will be created.
This security profile should not be confused with the Master Status option, found on the Options window and described above.
Users MSTR and SA will be assigned to this profile.
The MASTER security profile cannot be edited and so should be reserved for these two special Users only.
If you create a User who is to have the same Security Profile as the MSTR User, you should use the Duplicate option to replicate the profile with a new name such as OWNER. This duplicate profile will be editable.
Number of Users
The number of Users that you setup in the database bears no relationship to the number of User Licences that you have bought. You can have a 5 User Licence, with 20 Users set up in your system.
The number of User Licences determines the maximum number of Users that can use the system at the same time.
Service Pack Access
Service Packs are used to update your software without the need for a full install.
Only the System Administrator and Database Owner may use this function. By default this will be set for the Master User.
When this box on the Options window is ticked, the Service Pack Path button will be displayed. Use this button to set the path to the location where the Service Packs have been installed.
Clicking the button displays a window showing the currently defined location. There is a Browse button which enables you to set or change the location.
HTML Help Location
By default the HTML Help files are installed in a sub-directory/folder called \AccessHelp within the directory/folder where your Accounts are located. This sub-directory/folder is where the actual HTML files are held.
This button on the Options window enables you to choose an alternative location for the Help files, such as a CD or your Server.
Note: If you edit or annotate any of the HTML files, you must not change their filenames else the Table of Contents and Links within the Help will not work.
If you have edited or annotated any of the HTML files, you must remember to save these before you update your version of the accounts. The existing topics will be overwritten with a new version of the Help when the upgraded version of the accounts is installed. You will need to copy any changes or annotations back, from your backup files, to the new Help files.
Startup Module
This menu is found on the Options window. Clicking on this menu enables you to select which module will be presented to the selected User when they startup the accounts.
If you select Toolbar Button from the menu, a further menu will open. This enables you to select an action associated with a toolbar button, rather than a module, to be activated at startup.
