Smart Tag Summaries
Smart Tag Summaries are windows containing snapshots of key data and transactions for a selected record, which are displayed within a display window. The Summaries also include graphs.
This feature requires the Smart Tags Designer application to be installed from the Integration CD. Refer to the installation instructions included on the CD with this application.
The availability of the Smart Tag Summary icon is determined by the installation of the Smart Tag Summaries on the client PC, and on the Security Profile settings.
If Smart Tag Summaries are not installed a message will tell you this.
Within the Security Profile, against each Record is an option Smart Tag Summary.
The option can provide Full Access, View Access or No Access.
If No Access is set, then the Smart Tags Summary will not be available for that Record.
The availability of the Transaction based Summaries (e.g. All Transactions) is dependent on the setting in Security Profile, against each Record is an option Transactions. The option can provide Full Access, View Access or No Access. If No Access is set, then the entire header line will be removed from the Summary window, so that it cannot be seen.
Within the following Record List windows, you can open a Smart Tag Summary by clicking on the Smart Tag Summary icon:

When you select the icon, a Summary window is opened displaying information for the currently highlighted record.
The Summary window
When you select a record and click on the Smart Tag Summary icon on a list window, the Summary window will be displayed. It will contain data for that record only. e.g., from a Customer record list window, while Barrons Brasserie is selected:
By default, the first two Summaries will be opened for you. The other Summaries can be opened (or closed) by clicking on the chevrons on the right of the heading line.
Printing and Copying to other applications
When any Summary is opened, right clicking in the window displays a menu, which enables you to print whatever is currently displayed in the window (note that you cannot use the Export function in this window). You can also copy and paste the information in a Summary, including the associated title, into other applications such as Microsoft Word or Excel. However as they are highly formatted within tables, you may have to do some editing to format them as you wish.
Looking at details
On some Summary windows showing Transactions, you may expand a line to show the detail within it, by clicking on the '+' sign:
Grouping the data shown
Using the Group by... menu, you can group the Transactions in the list by Sort Key, by User Keys 1, 2,and 3, and by Product Code. By implication, this will also change the Item Code column to show the selected key field.
Displaying further Summaries
On some Summary windows, values are shown in red, this means that they are 'active', and if you click on them, further Summary windows will be opened to expand that particular value, e.g. clicking on the 31,956.50 value opens the All Transactions Summary enabling you to explore the breakdown of that value.
However, it may not be possible to drill-down to further summaries from every transaction line. On attempting to do so, you may receive the following error message:
"Unable to load requested Smart Tag Summary. Either you do not have sufficient privileges or no matching data found."
You are most likely to get this message if your data has been upgraded from Horizons as the upgrade routine does not convert all the transaction history in a way that will make it available to the Smart Tag report. In particular, when trying to access Purchase Ledger transaction line information from a Costing Smart Tag Summary.
Opening further Summary Windows
Further Smart Tag windows can be opened from 'hotspots'. These are displayed with a broken underline and a pop-up information icon appears as you move the mouse cursor over them.
Moving the mouse cursor onto the pop-up information icon will change it to a grey menu. Click the arrow to open the menu and select the Summary window you wish to view.
Selecting the Years and Periods
Using the Current Year and Period... menus, you can select the years and periods to be included in the display. By default, these will be set to the Current Year and Period 1.
You can click on the '+' sign to expand the line.
Email output
Where Email addresses are shown and are in red, clicking on them will launch your Email software with a message addressed to that Email address for you to complete the details and send.
Remember to close Summaries
Remember to close the Summaries when you have finished with them, as it is possible to have as many open as you wish. If they are not visible, you can open them from the task bar at the bottom of your screen.
