This topic describes all the options you will generally find on any Simple Search window when you click on the Search icon on the window toolbar of any Record or Transaction reports option.
The Simple Search window enables you to choose which data is to be included in a report, by entering selection criteria.
The Simple Search is available for most reports and is opened from the icon on the toolbar of the report window.
Once you have entered some criteria, you can check the size of the report using the Count option. Then if the report seems too large you can revise the criteria and test the report size again.
A transaction or record will only be included in the report if it matches ALL the search criteria.
This example is for an All Transactions report, for other reports there may be different fields and extra selection criteria.
Toolbar options
elect Search This option enables you to open and run searches you have saved for re-use.
Save Search This option enables you to save the search criteria that you have entered so that you can recall it and run it again.
Clear Click this icon to clear the fields on the search window.
Count enables you to quickly count the number of entries that would be selected on the basis of the criteria entered so far. This avoids generating over-large reports.
Print - You can print the report directly from this window or you can return to the report options window and print from there. The search criteria will remain until you close the report options window or click on Clear.
You may want to return to the report options window to change the Sorting and Sub-totalling for the report before it is run.
Search criteria entry fields and options
Set Search Default - This enables you to set the default to be used for all the selection fields.
It defaults to a Range selection, but you can also select Begins with, Contains, or Equals. Whatever is selected here will be imposed on all the selections by default, but you can still change the individual selections.
Show Search Text If this is ticked, the search criteria you have used will be shown on the report.
The Lookup buttons display selection windows listing the details held for that particular field. Double click to select an item.
Current Year - The Year selection applies to transaction reports only. The search entered will be assumed to be for the current year. If you wish to change this then click on this button to select another period.
User Keys Displays a window listing the User Keys, so that you can select Transactions entered by a particular User.
You should enter the values you wish to use for searching:
Entry of a From value will only include records from and including that value.
Entry of a To value will include records up to and including that value.
All Invoices - You may also select the type of transactions to be selected by using the All Invoices menu.
The menu includes: Print All Invoices; Print Invoices Not to Chase only; Print Invoices to Chase only; Print Query Invoices only; Print Invoices not on Query only.
The Do not Chase status of transactions is set using the Credit Control unit.
Setting the Do Not Chase status will also set the Query flag for the transaction.
The Query flag can be unset either via the right-click menu on the Aged Debtors enquiry window or via the Bulk Receipts window (dispute flag).
If the Credit Control unit has not been purchased it is only possible to set the Query flag against transactions.
Order Account - On simple search windows for Sales Order Processing transaction reports where a Customer Account can be selected, you can select the type of Customer Account by selecting from this menu.
User Keys selection window
When you click the User Keys on the Simple Search window, a new pop up window is displayed which enables you to enter or select by User Keys.
The User Keys window when opened from the Transactions menu Simple Search option will contain Sort Key in addition to the User Sorts.
The User Keys window when opened from the Reports menu Simple Search option will not contain Sort Key entry but will enable you to type a single letter or a string in the User Sort fields by clicking on Equal, Begins, Contain and Not Equal icons.
You can use any combination of these fields for your selection.
When entering these User Keys, if you are not certain of what to enter, clicking the Lookup button displays a window giving the currently available entries, from which you can make a selection.
The function icons at the top of the User Keys window enable you to restrict the list to be displayed.
You can amend this list or add to it at any time. (Use the Edit button to add entries), but any keys that have already been applied will remain unchanged.
Selecting an entry from this list by double clicking, is safer than keying in directly to the first window, because if there is a spelling mistake, data might not be selected when searching on these keys.
Note that these are not the same as the Transaction User Keys.
Select Search
The Select Search option, found on most report Simple Search windows, enables you to select from the list of stored searches whose details you have saved (Load Mine) or include the ones which have been saved by other Users (Load All).
These searches are set up by entering criteria on the Simple Search window, and then clicking on the Save Search button. You can also Edit the Search names or Delete them. The Print icon enables you to print the list of all the available searches.
Wildcard Search
With a List window open and in focus, type the first few characters. The cursor will be moved to the first occurrence in the list of those characters (one character is enough). You do not to use the '*' asterisk character.
As you type further characters, the cursor will move again to the first occurrence of all the characters that you have entered.
You can then use the up or down arrow keys on the keyboard to move to the next or previous occurrence in the list.
To clear the search and start another:
Press either of the up or down arrow keys on the keyboard; this will move the cursor to the next or previous entry in the list.
If you then enter a character, you will go to the first occurrence of that character.
It works on any list; both records and transactions. It can be used with great efficiency for finding cheque numbers in a bank reconciliation list.
