Post Estimate Batch

The Batch function on the CRM Data Entry window enables you to go directly to the Batch Posting function, so that you can post the Estimate transactions that you have entered, without having to go via the Transactions menu.

Estimate transactions for Prospects can be entered via the Pipeline tab in CRM, but for Customers you must enter estimate transactions via SOP.

The Estimate Selection window will be opened alongside the Estimate batch list window.

Because the window is opened from the CRM Data Entry window, the Prospect or Customer code field will be pre-populated with the code of the record you were viewing.

You can enter additional search criteria before clicking Display to retrieve the estimate transactions for the Prospect or Customer.

The Prospects menu enables you to select to view Prospects, Customers or All Accounts. It will currently be set to match the status of the selected record.

The All Years menus enables you to limit the selection to a particular year.

You can also search for all estimates entered by a particular User ID.

Click Clear to clear the code field and enter different criteria before clicking Display.

Once you have listed the estimate transactions you can select those that you wish to process.

You can if you wish select to process all the estimates by clicking Process All, but it is better to list the estimates first to check that they are ready for processing.

Having entered your selection, click on Display to retrieve the list of transactions that match the search criteria you have entered.

The transactions should be selected for processing by double clicking on the line to change the NO to a YES.

Multiple lines can be selected by using the shift key or control (Ctrl) key whilst clicking.

The switch line button can be used to change the status of selected lines. The switch all button can be used to change the status of all lines.

Individual transactions can be Edited or Deleted by selecting the line and clicking the appropriate options.

When you are ready to post the transactions, click OK.

You will be able to select to use the transaction to print an Estimate or Quotation report. You can enter the date that is to be printed on the document. If you select to print the document, the usual print output window will open to enable you to select to print to screen, printer or file.

To Convert to Pro Forma or Convert to Live, you will have to convert the Prospect record to a Customer record and you will be prompted to do this.

If you select Convert to Live, a status menus will be made available so that you can set the status of the order. A Required Date field will also be available for entry of an appropriate date.

Click OK to continue.
