Debt Status

This report provides you with a list of Customers with their outstanding balances and debt status for different types of transactions.

The Debt Status of a transaction can be calculated and set by the system using the System Control settings you have defined for the Credit Control module or can be selected by you.

A transaction is current until it reaches it's Due Date, as defined by the Terms you have entered for the Customer, when it becomes Due.

A transaction is Due until it becomes Overdue by reaching the number of days past its Due Date as defined by you in the System Control settings for the Credit Control module.

These Debt Statuses, Due and Overdue, can be calculated and set by the System.

Other Debt Statuses you define in Credit Control settings, can only be set by you using the Change Debt Status feature.

Running the report

From the Credit Control menu, select the Reports menu and then Debt Status. This will display an output selection window, with options to change the format of the report.

  1. Report Title - You can change the report title; you might wish to add your own reference to the default title of Debt Status.

  2. Print the following - You can select which types of transaction are included in the report by ticking the associated box.

  3. Select to print the report in Home currency values or Currency values or both.

  4. Use the Sort Order option to change the order of the report and to add subtotals.

By default the report is ordered by Customer Code within Debt Status and sub totalled by Debt Status.

  1. Use the Simple Search option to refine the report by entering criteria that must be met by the records and transactions included in the report.

  2. Select the output for the report: Screen, Printer or File.

You can select a printer by pressing the Select Printer button.

  1. Click Print to produce the report.

The report includes the following information:

  • Customer Code and Name;

  • Transaction date, type and reference;

  • Amount outstanding and Debt Status.

There is also a Query column to indicate when a transaction has been flagged as Do Not Chase.

Simple Search

The Simple Search option enables you to create a forecast based on accounts that match specific criteria. You can save any searches you use so that you can retrieve them and use them again.

To enter search criteria, click the Simple Search icon on the window toolbar.

Searches can be saved using the Save Search icon on the Simple Search window.

Saved searches can be opened by pressing the Select Search icon on the window toolbar.
