Aged Creditors

Selecting Aged Creditors List from the Reports menu, displays a print selection window where you can select to where the report is to be output, change the title, enhance the basic report, make it more selective and, where relevant, change the sorting and sub-totalling that is applied.

The report can be expanded from a basic one line report of Creditors, to one that includes several lines of information for each Supplier, plus all of their outstanding Transactions (see Wide Report below).

Additional information can be added to the basic report by selecting from the options.

Show report with - Click the information you wish to add to the basic report.

Full Names - Prints the full Company Name for each Supplier by taking a second line on the report.

Contact Details - Prints the Accounts Contact and Telephone Number for each Record.

Terms - Prints all of the Discounts, Credit Limit and Due Days for each Record.

User Keys - Adds the User Keys you have given your Suppliers.

Notes - Adds the Notes for each Supplier.

Wide Report - Contains more information than the standard report, and therefore must be printed by wide carriage dot-matrix printers or in landscape on A4 paper by Postscript laser printers set at about 90% scaling. When Wide Reports are selected, a further option becomes available:

Transactions - Selecting this option prints all of the outstanding Transactions for each Supplier Record printed.

Fast Report - This report is substantially faster because it is based on information held in the Supplier Record rather than on outstanding Transactions.

Multiple Period

When this is selected you are able to specify from when the ageing will start. In System Options, if you have selected to age 'by Month' then you can choose the Year/Period; if you have selected to age 'by Days' then you should specify the specific date from which you wish the transactions to be Aged from.

The ageing will start as specified, and work backwards; it will not default to ageing according to the system date.

The report always works on the Balance as at today, and includes all unallocated Transactions. All Suppliers with unallocated Transactions (including those with zero balances), appear on the report. However if all Transactions have been Allocated, then the Supplier will not appear even if there would have been a Balance for the Period selected.

This is a landscape report.

Tip! If you want to be able to produce an Aged report ‘as at’ the end of a Period that you are keeping open, you should not allocate any Transactions that have been posted to a future Period.

Currency

If using Currency, then:

  • Home values Shows all records with Home values.

  • Home and Currency Shows all records with Home and Currency values.

  • Currency values Shows Currency records only with Currency values.

  • 2nd Base Values Adds the 2nd Base values held for the Transactions.

Transaction Processing

The Aged Creditors report can also be run from the Transaction Processing menu. This allows you to update Transactional information (perhaps in the background or overnight), so that Creditor information based on Transactions can be printed at the same speed as information based on Records.
