Create a data connection

You can create data connections in AOI Administrator in several situations — particularly after an AOI upgrade, app data refresh, new installation, or the addition of a new database. Contact support if you need to request an upgrade.

  • An upgrade of AOI.

  • Refreshing the app data.

  • A new installation of AOI.

  • A new database.

If you have upgraded or refreshed the AOI app data

Your previous data connections can be restored. Follow these steps:

  1. Click the File Explorer icon.

  2. Delete the path in the Address bar.

  3. Enter %appdata% then on your Keyboard, click Enter.

  4. Click AccessAccountingLtd then click AccessOfficeIntegration.

  5. Click AOISettingsBackup.

  6. 📌 Note: If AOISettingsBackup is not present, go back to the AccessAccountingLtd folder and check for an AccessOfficeIntegration_Old folder. Open it, then the version number folder, and continue from step 6.

  7. Select AccessAccounts.Shared.DataConnections.xml.

  8. Right-click and select Copy.

  9. Return to the AccessOfficeIntegration folder and click it.

  10. Click the version number folder.

  11. Right-click and select Paste.

  12. Click Replace the file in the destination, then open AOI Administrator.

  13. Click Data Connections.

Create a new data connection

The first part of the process is the same for all connection types. Then refer to the table below for connection-type-specific steps.

  1. Click AOI Administrator.

  2. Click the Office products with AOI or click All.

  3. Click any other options as required.

  4. Click Data Connections.

  5. Click the Connection Type drop-down and select the appropriate type:

Dimensions

  1. Click the Datasource drop-down and select the data source.

  2. If Windows Authentication is set up, select Windows User.

  3. If not set up, in the Username field, enter the username for Dimensions.

  4. In the Password field, enter the password for Dimensions.

  5. Click the Database drop-down.

  6. Select the Dimensions, SelectHR, or Asset Manager database.

  7. Continue with step 6 after the table.

Hosted: Dimensions

  1. Enter the Username for Hosting services, for example DM1234SmithA.
    Note: For Access Financials, use the Hosting Admin Username, e.g. DM1234Hosting.Admin.

  2. Enter the Password.

  3. Check the HTTPS Server URL, which is either:

  • aoilive2.accessaCloud.com

  • If you're privately hosted, you have a special URL.

  1. Click the Database drop-down.

  2. Select the Dimensions, Access Supply Chain, SelectPay, or SelectHR database.

  3. Continue with step 6 after the table.

Note: You may need to take a Proxy Server into account and your IT department can help with that.

ADM

To use Access Document Manager in AOI:

  • Enter your ADM Webservice URL and click Validate URL.

If you don’t use ADM, leave this blank and don't click Validate URL otherwise it displays the following error: The ADM Web service is invalid or unavailable.

Click Add.

In the Data Connections list, click the connection you want to set as default.

Click Make Default, then click OK.

Click Microsoft Excel, Word, or Outlook and confirm the Access tab is available.
