Deal with a user leaving the company and needing to be inactivated

Rather than deleting users from Dimensions, we strongly advise you to create a profile with no permissions and move the users into there.
If you use FocalPoint, deleting users from Dimensions is not an option at all, as any transactions they created, approved or were otherwise involved with will no longer be accessible.

Dimensions licensing works on the number of concurrent logged in users and so users in the Leavers profile will not affect your license at all.

We recommend the profile is called something like "Leavers" so it can easily be identified.

To create a "Leavers" security profile:

  1. Log into Dimensions as the SA or Hosting Admin account if you are a Hosted client.

  2. Click System, Profile (Next to User Records)

  3. Click Insert.

  4. Create a Code and Description for the profile, e.g. 'Leavers' so it is clear what this profile will be used for.

  5. It is recommended to remove all permissions. Click all the green ticks so they become red crosses. This will ensure the users put into this profile do not have any permissions.

  6. Click Save.

  7. Click Users in the menu at the top.

  8. Find the required user in the list on the left hand side (users not in this profile) and find the relevant user

  9. Double click on the user name to move them into the right hand list (users in this profile)


This will prevent the user from having access to anything when they log in. If you want them to be unable to even log in, you can also change their password as follows:

  1. Log into Dimensions as the SA or Hosting Admin account if you are a Hosted client.

  2. Select System Control.

  3. Click User Records.

  4. Highlight the user required.

  5. Click Options.

  6. Click Edit.

  7. Enter the new password.

  8. Click OK.

For Dimensions 3.0 users, any user on the system can create the Leavers profile and follow the above steps, the user does not need to login via Hosting Admin.
