Inactivate a user who has left without deleting their account

You cannot delete a Dimensions user who is linked to transactions — for example, a user also set up in FocalPoint. Instead, create a zero-permission 'Leavers' security profile and move the user into it. This removes their access without deleting the account.

  1. Log in to Dimensions as an administrator.

  2. Click the System tab.

  3. Click Profiles.

  4. Click Insert.

  5. Click all of the ticks on the left side to turn them all to crosses, we don’t want these users to have any permissions.

  6. Add ‘LEAVERS’ to the code, or something else that’s relevant.

  7. Add a description.

  8. Click Save.

To move a user into the Leavers profile:

  1. Log in to Dimensions as an administrator.

  2. Click the System tab.

  3. Click Profiles.

  4. Click the next arrow until you reach the Leavers profile.

  5. Click Users.

  6. Click the user you want to move into the Leavers group.

  7. Click the right arrow to move them across.

  8. The user is now in the Leavers group and has no system access.

📌 Note: Do not delete profiles from Dimensions — they are needed for audit purposes.
