Please ensure that the user is an Admin of the Access Evo organisation, and of Expense. This is so Dimensions can sync with the Access Evo Apps, and then sync with the Expense Data.
β
The User Record must be set correctly:
In Dimensions, click the System tab, then User Records
Click Options
If the aCloud/Access Evo User is checked then close the dialogs, otherwise
Click Edit
Click aCloud/Access Evo
Click Save
βThere are two things to try if the Expenses option is not visible on the Creditors ledger:
Firstly, ensure the user has permission to view Expenses within Dimensions under the Creditors Ledger:
In Dimensions, on the System tab, click User Records.
Check which Profile the user who cannot see the Expense tab is on.
Close the window.
Select Profiles.
Scroll using the green Previous or Next buttons to the correct user profile.
Expand the menus by clicking on: Purchase Ledger - Transactions.
Check whether the aCloud Expenses option has a tick next to it.
If it has a red cross next to it, click on Edit in the top ribbon.
Click on aCloud Expenses and the cross will change to a tick.
Click Save if this change was made.
If the user has the relevant permissions but still cannot see Expenses, follow the steps detailed below to Synchronise:
In Dimensions, on the System tab, click Data Utilities.
Select Synchronise aCloud or Access Evo Apps.
Sign into aCloud Access Evo when the prompt appears on screen or when it opens in the web browser.
If the user cannot see the above Data Utilities - Synchronise Access Evo Apps/Data options, then make sure the Security Profile that the user belongs to does enable these functions:
In Dimensions, on the System tab, click User Records.
Check which Profile the user who cannot see the Expense tab is on.
Close the window.
Select Profiles.
Scroll using the green Previous or Next buttons to the correct user profile.
Expand the menus by clicking on System Control - General - Data Utilities.
If Synchronise aCloud Apps is Disabled, click on Edit on the top ribbon.
Select Enabled.
Click Save if this change was made.
Another step to check is to try refreshing the Access Evo credentials as follows:
Select Change Password via the red icon (or via the Info menu if using the Classic/Module Menus menu style).
Select Access Evo Logon Details.
Enter your current Access Evo user id and password to authenticate and connect to Access Evo.
Close the browser window and return to Dimensions.
If the user already had all the access they needed to view the expenses button however it was just not showing, please try the following:
Ensure the user has all the correct permissions to view the Expenses option
If they do something that can be checked is the JSON file they have, to find this navigate to the following file path through a file explorer: C:\Program Files (x86)\Access Applications\Dimensions\Accounts\2.51j\External
In this case we went to this location and the JSON file was only 70KB
Replace the 70KB file with a 150KB file, to get the 150KB JSON file enter the following into a file explorer: \\ssmfnp\01-Supprt\FileStore\UserUploads\JSON Library File
Once you have replaced the JSON file get the customer to sync dimensions to Acloud.
To do this in Dimensions, on the System tab, click Data Utilities.
Select Synchronise aCloud or Access Evo Apps.
Sign into aCloud Access Evo when the prompt appears on screen or when it opens in the web browser. After the sync has finished the customer should now be able to see the expenses option.
If the user still cannot see Expenses, please raise a new case and reference the title of this article and please include details of the user affected.
