Hold Flag
Sales Order Entry
At the point of entering the Customer onto a Sales Order, if the customer has already exceeded the credit limit, then the order is flagged as being on Hold and you cannot change the header status. If you change the order type from order to estimate then you can change the header status. If you then change the type back to order, the status will reset to Hold. A pro-forma or progress claim is treated the same as an Order.
If you change the Customer Code the credit limit check will be re-done. If going from a customer who is over the credit limit to one that is not, the header status remains as Hold, but can be amended. If going from a customer who is not over the credit limit to one that is, the status is set to Hold and cannot be amended.
Saving the Order
When the transaction is saved the credit limit check is performed. If the result of the check takes the customer over the credit limit, the order is put on Hold and Batched. No delivery or invoicing can take place until the order has come off hold.
Editing the Order
If the order is edited from the batch the credit limit check is run as the order is opened. You cannot change the header status if the credit limit is still exceeded. The system will repeat the check when the edit is completed and the order saved.
When you edit, if the order is part-processed and the delivered quantity is greater than the invoiced quantity on any line and the credit limit check fails, the header status is set to Invoice do not deliver and cannot be changed.
Duplicating the Order
If a customer is already over their credit limit, then all duplicates are automatically put on Hold. If a customer is not over the credit limit but one or more of the duplicates takes the customer over their credit limit, then the orders which cause the failure are put on Hold.
Sales Orders from Costing
When a Sales Order is created in the costing module, the credit limit is checked at the point of saving the order.
Sales Orders from CRM
If you enter an estimate for a Customer where the 'include estimates' option is off and then change the order type from Estimate to Order, the credit limit check is run.
If you enter an estimate for a Prospect the type cannot be converted to order.
If you enter an estimate where the 'include estimates' option is on then the check is run when the estimate is opened or when the customer/prospect code is populated.
Sales Order Authorise Orders
If you have the Security Profile option 'Exceed Credit Limit' then you can amend the status from Hold to another status providing you remain within the header status rules.
Messaging
You will be warned if the selected customer has exceeded their credit limit.
