When you place a new order with a business, the system will check to see if the credit limit has been exceeded by that order and if so, then set the order to be on hold until either the credit limit is increased or some of the other outstanding transactions have been settled.

Sales Order Options

The switch to enable the Credit Limit hold is found on the Sales Order Options screen. The default setting for this option is 'off'.

Security Profiles

In the Authorise Orders section of the Security Profile is the option to 'Exceed Credit Limit'. If enabled, you are able to change the header status of an order even though the credit limit has been exceeded. The default setting for this option is 'on'.

Credit Limit Checking

Once activated in Sales Order Options, the restriction will apply system wide, with the Credit Limit Check performed at a number of different points in the SOP process:

  • When a customer is selected in a sales order;

  • If a customer is amended on the order before it is saved;

  • Changing an order type to 'Order';

  • Duplicating an order

  • When an order is saved;

  • When a Sales Order is edited from the batch;

  • When a Sales Order is created from Costing;

  • When a Sales Order is created from CRM.

The basis of the Credit Check is to see if the current balance + outstanding order + current order value is greater than the customer's credit limit. The Credit Check is done against the gross value of transactions, however you have the option to also include estimates. If Include Estimates is turned on, the outstanding orders and current orders also include SOP estimates / CRM Pipeline.

If the calculation results in a value over the credit limit, you will receive a warning message. If you click Yes, the order status will be set to 'hold'. If you click No, the screen will be cleared.
