Records tab

Use Cancellation Reasons - Default is off. Tick if you want a reason to be entered when cancelling a Sales Order. See also Selling Cancellations, Selling Batch Orders.

Transactions Tab

Compulsory Entry Fields:

Tick the relevant checkbox to make that field compulsory when entering data.

Reverse Charge Goods:

Ticking Auto-calculate de minimis limit will automate the tracking of the value of order lines for stock or price records that are flagged as Reverse Charge VAT Applies.

Mail Order:

When the Use Mail Order option is ticked an extra button is shown on the Sales Order Transaction Header and the System will prompt for Credit Card details when entering a Sales Order. This option provides facilities for checking and recording Customers Credit Card details when entering Sales Orders, and for recording the activity associated with each Credit Card company.

When sales orders containing Credit Card details are invoiced and updated to the Customer, the system automatically generates a Receipt that matches the Invoice value and allocates the Receipt against the Invoice.

Credit Card details can also be entered against Sales Order Credit Notes and, when the Credit Note is printed and updated to the Customer, a negative receipt will be generated and allocated against the Credit note.

If you are using SQL 2005 and above, Credit Card details will be held as encrypted data in the database.

An option, Ignore Credit Card Details, can be selected in Security Profiles if a User is not required to enter Credit Card details. In this case, the Credit Card menu on the Sales Order header window will be set to Ignore.

Stock Tab-off:

Sub Analysis - Hide if no Physical - If this option is selected, then if a Sub Analysis Stock record has been selected for a Detail line, and there is no Stock, the record will not be included in the Stock List displayed when the lookup button is pressed. This option will be remembered on subsequent visits to the Sub Analysis window, even if accessed from different modules. Therefore you should be aware that if using this option, the Option on the Sub Analysis window Only Show Items With Qty <> 0, may be ticked when that window is opened, resulting in not all Sub Analysis records showing.

Stock - Hide if no Physical - If this option is selected, then if a Stock record has been selected for a Detail line, and there is no Stock, the record will not be included in the Stock List displayed when the lookup button is pressed.

Quantity to exclude non SOP sub analysis - If this option is selected the quantities displayed in the Stock List, when the lookup button is pressed, will not include stock quantities for Sub Analysis records that are flagged as Do not use Sub Analysis in Sales Orders. The Do not use Sub Analysis in Sales Orders flag can be set on the Analysis tab of the Sub Analysis window.

Default Sales Order entry:

This Menu allows you to set the default Sales Order Detail line type as Stock, Price or Text Entry.

Default Batch Reference:

For Sales Order transactions, this option will take precedence over the system default which is either Last Entered or Empty. You may select to use the Last Entered batch reference, which will cause the batch reference to be populated automatically by the most recent batch reference entered in any module, Empty which will mean that the batch reference is not populated automatically, or you can select to use the Sort Key or one of the three User Sort fields as the default batch reference.

Detail:

If Copy Stock Descriptions to SOP Detail is selected, when detail lines are entered for stock, the text held in the Description field of the stock record will be copied into the Detail box on the detail line window.

Price Line:

Override default Price Line - when set, then if a Customer or Supplier has a Price Line setting in their Terms that picks a zero Price when a Stock item is included in an Order, then whatever is in Price Line 1 for that Stock item will be used instead. Alternatively, If this is not set, then you will be able to keep a Price of zero in an Order line, i.e. to sell or buy a free Stock item.

Auto-select currency Analysis - When you are selling to customers in multiple currencies, setting the correct analysis on the price line is not always possible. In this case, you should select this checkbox to let the system automatically pick the correct currency Analysis for a Sales Order stock line based on the home currency Analysis set against the price line. For example, where 1010 is the home Analysis Code on the stock price line picked for a USD currency order, then the system will look for Analysis Code 1010USD. If this code does not exist, then system defaults apply.

Recalculate currency orders when converting to invoice:

If any of the Recalculation options is selected, you will be prevented from being able to Print Invoice without opting to also Update Invoice; however you may change this Option at any time as long as there is no one else in the SOP batch.

This menu has 4 options:

No Recalculation on conversion to Invoice - This will disable any recalculation.

Recalculate home values from foreign currency - This is likely to be the most common option and would be the default for new databases. The foreign currency values on the Invoice will remain unchanged from those entered and printed on the Order. The Home currency values will be adjusted if the exchange rate has moved since Order entry. If this option is enabled you will be prevented from being able to Print Invoice without opting to also Update Invoice.

Recalculate foreign currency values from home values - The Home currency values on the Invoice will remain unchanged from those entered on the Order. The Foreign currency values will be adjusted if the exchange rate has moved since Order Entry. If this option is enabled you will be prevented from being able to Print Invoice without opting to also Update Invoice. Using this option will result in a foreign currency Invoice having a different foreign currency value from the original Order. This still may be a preferable option to some users.

Recalculate according to transaction option set on entry - Here the processing for each transaction could change according to the Transaction Option selected when the Order was entered, i.e. If Enter Currency Prices is ticked, then the foreign currency values would be fixed and the Home currency values would be adjusted; alternatively, if Enter Currency Prices is not ticked, then the Home values would be fixed and the foreign currency values would be adjusted.

other options (not labelled):

Always print hard copy of Invoices and Credit Notes - This occurs by default, and is used when multiple Documents are being sent by email, rather than being printed, to ensure that there is a hard copy of all prime documents. The file will be saved in the E-Mail Reports folder.

Always update invoice after printing - This option only applies to printing from SOP Batch Invoices; see Process Batch options. Tick this option (default is unticked) if you want to ensure that users cannot print multiple invoices from an order for different values. In other words, if “Print Invoice” is ticked then “Update Invoice” is also ticked and disabled.

You should use this feature with care, as the aftereffect is that you will be unable to re-print an invoice if an error occurs during printing (e.g. paper jam).

Display order number when saving order - This is used to display the Order number that has been allocated, when saving the Order.

Automatically hold Orders over Credit Limit - If selected the system will automatically flag a Sales Order as being on hold if the customer is already over their credit limit or if the value of the order will force the customer over their credit limit.

Include Estimates in Credit Limit calculation - Disabled unless Automatically hold orders… is enabled. If selected, Estimates are included in the credit limit calculation.
