The Records menu contains two Stop Status options: Customer Stop Status and Supplier Stop Status.

These options enable you to change the Stop Status of accounts in the Sales and Purchase Ledgers.

The processes are the same for Customers and Suppliers; any examples used in this topics come from Customer Stop Status.

A Customer or Supplier record is placed 'on stop' to indicate that they should not be traded with. This could be for many reasons, one of which could be that the Credit Limit has been exceeded.

The On Stop flag can be seen on the face of the Customer or Supplier record and can be set or cleared there.

This feature in Credit Control enables you to review all your records, or just those that match particular criteria, setting or clearing the Stop Status as required.

Stop Status Search window

Clicking the Display icon on the search window will populate the Stop Status window with accounts that match any criteria that you enter in the fields on the window.

You can enter search criteria to select records by Customer Code or Name; Sort Key or Credit Controller ID.

Clicking the search icon alongside any field will display a list of codes or values from which you can select an item to populate the field.

All accounts are included by default but you can select only to display those accounts that are On Stop or only those that are not.

When you have entered the criteria that is to be matched, click the Display icon to activate the search and populate the Stop Status window.

Searches can be saved using the Save Search feature and retrieved for use by clicking the Select Search icon.

Clicking the Clear icon will clear the fields on the search window.

The Search window can be re-opened from the Stop Status window by clicking the Search icon.

When the search is activated, this window will display a list of the records that match the criteria you have entered.

The list can be sorted by any of the columns by clicking on the column header.

  • All accounts that match the search criteria are displayed with their Code, Name, Balance, Turnover and Credit Limit.

  • If a Credit Controller has been assigned to the account, the ID of that User will be shown.

  • The current Due Days and Anticipated Days are displayed along with the date of the last invoice and last receipt that were posted to the account.

Updating the stop status of a transaction

  1. Locate the records that you wish to update and change the process status from NO to YES.

Selecting lines in the list and clicking the select button will switch the process status of the lines from NO to YES and vice versa.

The select all button will switch the process status for all lines in the list.

The process status can also be changed with a double click.

Only the lines that are set to YES will be processed.

  1. When you have selected the lines you wish to update, click OK to run the update process.

  2. The On Stop Process Options window will be displayed.

On Stop Status

Displayed when you select OK on the Stop Status List window, the Process Options window enables you to change the Stop Status for the selected Customer or Supplier records.

  • Clear Status for selected Accounts - Select this option to clear the On Stop flag for the selected accounts thereby taking them off stop.

  • Set Status for selected Accounts - Select this option to set the On Stop flag for the selected account thereby putting them on stop.

  • Compare Balance to Credit Limit - This option will place accounts that are over their credit limit On Stop and clear the On Stop flag for all accounts that are not over their credit limit.

  • Check for Invoices Overdue By - If selected, you will be prompted to enter the number of days, weeks or months against which the system will test the invoices. Accounts that have invoices that are overdue by the period you have entered will be placed On Stop.

OK When you have made your selection, click the OK icon to update the records.

The Process Options window will close and you will be returned to the Stop Status List window.
