Record Functions

Insert Button

This button displays a blank record window so that you can enter a new record.

On the new record, the OK and Cancel buttons will be active. When you have entered the record details, click or Enter to save the details and create the account in the database, alternatively, clicking Cancel clears the blank record and cancels the insert.

Edit Button

This button makes it possible to change details shown on the window, and activates the OK and Cancel buttons.

When you have amended the details, clicking on OK writes the changes you have made to the Data file, alternatively if you want to abandon the changes, click on Cancel and the Record will be left unchanged.

Duplicate

This function enables all non-unique details for a record to be duplicated. Using the navigation functions, you should first locate the record to be copied and then click on the Duplicate function button on the record window. A new record will be displayed containing all the static data from the original record; the cursor will be in the Code field, which is blank: a new, and unique, Code should be entered.

Browse Buttons

The Previous and Next browse buttons are found on the toolbar of record windows and they enable you to move through the records.

If Levels are used for records, the Next and Previous buttons on the record windows are disabled in order to prevent the you from moving to records to which you do not have access.

Find Button

This button takes the cursor to the first search field on the record window.

The actual fields that can be used for searching vary according to the record involved, they can be identified by repeatedly pressing tab, which causes the cursor to move through the fields that can be used.

In a search field, you can enter as little as one character or number and then press enter, and you will be taken to the first record held which starts with that character or number. Then pressing the Browse Buttons you can move forwards and backwards through the data from that point, still using that field for searching.

Scroll

These buttons allow you to move through the Tabs found on the record window.

Customise Custom Tab

Please note: User Char 1 to User Char 6 do not update fields in the secondary tables which share the same name. This may cause confusion if you try to extract this information from the database for a report. User Char 3 to User Char 6 update User Char 5 to User Char 8 in the tables. User Char 3 to 4 in the tables are left free.

This button enables you to define the 15 entries to be used on the Custom Tab Card.

To use the tab card, click on Customise Custom Tab and this will display a User Fields list window.

This has 3 sets of 5 fields, each set consisting of:

  • A 20 character Text field (User Char 1-3)

  • A 30 character Text field (User Char 4-6)

  • A Date field (User Date 1-3)

  • A Flag field (User Flag 1-3)

  • A Number field (User Number 1-3)

In this list of the 15 user definable fields:

The left hand side will show the fields that can be added to the Tab card- (i.e. it excludes those already in the card).

The right hand side will show the fields already in the card that can be removed.

There is a maximum of 8 fields on the tab card, and if the user attempts to add more, the selection will be ignored. However fields that are currently being displayed can be moved back to the left hand side, and replaced by others.

Double click on a field in either list to move it to the other side, or highlight with a single click and use the direction buttons.

When you have selected the fields to be used, clicking on the OK button closes the window and displays the Tab Card with the selected fields. You can then enter data into them.
