CRM Entry - Pop Up Lists
The Details tab on the CRM Data Entry window is provided for you to enter the characteristics that classify your Prospect or Customer.
Most of the fields are drop-down lists and the lists behind these fields should be configured in the Popup List Configuration window before use.
The Popup List Configuration window is opened from the function in the middle of the tool bar on the Data Entry window.
When your lists have been configured, the details can just be selected from the drop-down lists.
Only those Users with access rights to the Popup List Configuration window will be able to view and change these lists. These access rights are part of the Security Profile assigned to the User. Users may be granted full access, view only or no access to the Popup List Configuration window.
To configure the lists:
Click on the Popup List Configuration function to open the configuration window.
The fields for which lists can be built and saved are shown in the left hand column.
Locate and click on the name of the field for which you wish to create a list.
The list content must be entered in the right hand pane.
To add content, click on the first empty line and enter the text for the first list item.
Press Tab to move to a new line to enter the next item.
Continue until all items have been entered.
Click on the arrowhead function at the top of the pane to activate all the list contents.
All items in the Sort Key and User Sort 1, 2 and 3 lists are always active and you do not need to tick the tick boxes.
Untick any that are not to appear in the list.
Repeat the process until you have built all the lists you require.
Save Now - you can build as many lists as you want to without saving them individually but a Save Now button is available to enable you to save the lists as they are built and continue to work with this window.
When you have finished, click OK to save the lists and close the window.
Click Cancel to discard any changes. This will discard all changes made since the Save Now button was last pressed or since the window was opened if Save Now has not been used.
To change the lists:
Click on the Popup List Configuration function to open the configuration window.
Locate the list you wish to change.
To add another list item:
Click on the last item in the list and press Tab.
The prompt will move to a new empty line so you can enter the text for the item.
Ensure the associated tick box is ticked to place the item in the list.
To change the order of the items:
Click on the list item to be moved.
Use the arrowhead buttons to the right of the pane to move the item to it's correct position in the list.
Repeat the process until the list is correctly ordered.
To remove an item from the list:
Un-ticking the associated tick box will stop an item from appearing in the list.
There is no delete button, but clearing the text from the line will remove the item from the list.
List items can be replaced by over typing the contents.
When you have finished, click OK to save the lists and close the window.
Click Cancel to discard any changes. This will discard all changes made since the window was opened.
The popup fields in the CRM module are designed to be customised for your specific needs and methods of working. Because of this, we are only able to provide a general description of these fields with reference to the labels that come as a default when you first receive the module.

Sort Key and User Sort keys 1 to 3
All items in the Sort Key and User Sort 1, 2 and 3 lists are always active and you do not need to tick the tick boxes.
Special uses in Post Code Management - The Sort Key and User Sort keys 1 to 3 have special uses if you use the Postcode Management functionality. Any of these key fields can be used to hold the identifier for a Customer/Partner and User Sort 1 can be used to hold a Product List. A matrix can then be created to simplify the assignment of Prospects by postcode area; Customer/Partner and product. These special uses must be set in System Control.
Fields at Company level
The fields that have popup lists are Prospect Char fields 1 to 14.
Initially, fields 1 to 5 will have the labels Industry type, Customer Type, Agent, Current Product and Market Sector.
The remaining fields will have the labels Prospect Char 6 to 14
The Checklist should be configured in the same way, even though it is a list rather than a popup list.
Fields at Contact level
The fields that have popup lists are Contact Char fields 1 to 10.
Initially, fields 1 to 7 will have the labels Next Action, Status, Salesman, Source, Opportunity Type, Sales Process, Sales Stage.
The remaining fields will have the labels Contact Char 8 to 10.
The lists Interested In and Classification should be configured in the same way, even though they are lists rather than popup lists.
