Records
These hold the Static Data for the System, and also contain fields that are automatically updated by Transactions, such as the Turnover and Balance fields.
Function Buttons:
These are a row of icon buttons at the top left of the window. These provide access to further details or to Transaction information for this record. The options available vary according to the Record involved.
Control Buttons:
Insert - This button is used to add a new record.
Edit - This button is used to enable you to change an existing record.
Next and Previous - Browse buttons.
Find - This button enables you to search for records using various 'key’ fields, these vary according to the Record involved. (Similar to the Search button - see below).
On this window the Find 'key’ fields are Code, Name, Post Code, Phone, Sort Key, or User Keys.
You can find this out on any window, by repeatedly pressing tab, when the cursor will move through the fields on which you can search.
OK - This button accepts any actions that you have taken.
Cancel - This button abandons any actions that you may have taken.
Delete - This button will delete this record provided that there are no Transactions for it anywhere in the system, and in the case of Nominal Account records, there are no references to it anywhere in the system e.g. Analysis records holding this account as a Dr., Cr., or VAT Account.
Customise - This enables you to define the 8 data fields displayed on the User Tab Card.
Scroll - This enables you to scroll across the User Tab Cards.
Help - This takes you directly to help information about this window.
Alternatively, using Help takes you to the start of the Help system, where you can navigate through the Help Topics in the same way as through the Accounts system. You can also use the searching facilities within the Help system.
Other Controls:
Code Leaving the Code field empty or entering the first few characters of a Code, and pressing tab, will display the Record Selection list window.
If the first part of a Code has been entered, the list will only show those Records that match the Characters entered.
If nothing has been entered, the list will be empty, and you will have to enter information in the 'search’ box.
More These buttons display subsidiary windows where additional data may be entered, reviewed or changed. On this window there is:
T/o YTD Turnover Summary and Drill Down.
Search buttons display a list of the valid data available for these fields, from which you can make a selection. On this window there are:
Code Clicking this button, or selecting from the Keys pull down menu, is the Record List , described above, which can be used to search for an Account, it can also be sorted in a variety of sequences.
Currency The Currency Code displayed on Customer Records can be changed if using Currency. This button (by the Balance prompt and the Currency Symbol) will pop up a list of all the Currency Rates that have been entered.
On the Sort Key Tab User Definable Keys for Sorting and Subtotalling.
Sort Key This displays a list of the Sort Keys that have been set up, so that you can select the one appropriate to this Record. Your ability to change the Sort Keys may be restricted by your Security Profile. See Restrict Sort Key use Help topic for more information.
On other windows and on Transaction windows, this button displays an Enquiry or drill down window (these can also be displayed using function buttons at the top of the window, see below).
Enquiry facilities:
You can view transaction information for this record from various points on the window.
The picture at the top of this page is of a Customer record. Transaction enquiries can be opened from the Aged Debt, O/s Orders, and Transactions buttons on the window toolbar and also from the T/o YTD search button.
You can print the information directly from the enquiry window. This can be quicker than using reports as no formatting is required.
From these Customer Enquiry windows, you can view the orders entered through SOP and Reprint Invoices and Credit Notes.
Tab Cards:
These hold additional groups of information. In the case of the Customer record these are:
Sort Key - User Definable Customer Sort Key and the three Customer User Keys used for Sorting and Subtotalling.
Notes - Up to 8 pages of notes regarding this Customer.
Contact - The main Contact at this Customer.
Bank - Bank details for this Customer.
Comms - Communications and Internet details.
Custom - User definable data fields.
