Multi Period Posting
Post to Next Posting Date
By default Recurring Journals will be posted to their Next Posting Date, according to the details entered when the journal was set up.
However, in the Security Profile options for Post Batch Recurring, there is an option Select Next Posting Period.
If your profile has this option enabled, you will be able to select the period to which the journal will be posted.
Open the batch selection window for the recurring journal batch from Recurring.
Click the Post to menu to reveal the Selected period option.
Select the period to which the journal is to be posted.
When you process the journals from the list, the period to which the journals will be posted is taken from this option at the time the OK on the post batch window is selected, so you can process some journals from the list and then change this option and process others.
Posting to Future Periods
In the Nominal Ledger, a selectable Transaction Option enables you to post Journals and VAT Journals to Periods up to 25 Periods in advance of the Current Period.
Selecting the Option Post to Future Periods ?, will display 2 further fields on the Transaction Header, where you can enter the Period Number and select whether this is in the Current Year or is in Next Year.
In the Sales and Purchase Ledger:
If you have been given the privilege, you can also post to future Periods.
If you have this privilege, 2 further fields will be displayed on the Transaction Header, by default these will show the current Period and Year, but you can enter or select the Period Number and select whether this is in the Current Year or is in Next Year.
Alternatively, you can overwrite the transaction Date, and whatever you enter in that field will be compared to the Period calendar, and the appropriate Period will be displayed.
If you have not been given this privilege, you can only post Transactions to the Current Period, though they can be input and held in the Batch queue, for several Periods if necessary, until they are posted to the Ledgers.
Future Posting Period
Users can be given the privilege of posting transactions to future periods. This is controlled via their Security Profile.
To grant future posting privileges to a Security profile record:
Open the Security Profile window by selecting Security Profiles.
Locate the profile record to which you wish to grant future posting privileges and click Edit.
Click on the Multi Period Posting icon.
Tick the ledgers to which future posting rights are to be granted and enter the number of periods ahead posting is permitted.
You can restrict posting to the Current Year by ticking the additional option.
Close the window and click OK on the Security Profile record to save the changes.
Users who have a Security Profile that permits them to post transactions to future periods, will be able to select a future period from the Year and Period menu available on transaction headers.
Clicking on the drop-down menu button will offer a year and period selection.
The menu will initially default to the year and period indicated by the transaction date.
Recurring Journals
There are additional Security Profile settings to control the posting of Recurring Journals.
Open the Security Profile window by selecting Security Profiles.
Locate the profile record to which you wish to grant future posting privileges for Recurring Journals and click Edit.
Open the Nominal Ledger section of the profile and locate the settings for Recurring Journals: Post Batch - Recurring.
Set the Post to Future Periods option to Enabled.
Setting the option to Disabled will restrict Users with this profile from being able to post recurring journals to future periods.
Click OK to save the changes.
