In VAT Journals, if the Transaction Option Recurring Journals is selected, a new field called Postings per Period is displayed on the Transaction Header.

You can enter the maximum number of times this Journal should be posted in a month.

If you do not enter the number of postings,when you try to tab from the description field, you are warned to enter a value. If you enter the Number of Postings but do not enter the Postings per Period, then a message will be displayed:

You have not entered the number of postings per period. This will be set to 1 by default. OK.

You can change the number of Postings per Period before saving the Journal into the batch, or later by editing it from the batch. The Postings per Period cannot exceed the Number of Postings.

A Recurring Journal is selected for posting in the same way as usual. If the Journal is selected to be posted more times than the maximum specified in the Journal itself, the following message is displayed:

This journal will be x+n of x in period y. Do you wish to continue? No (default). Yes.

x is the maximum number of Postings per Period of that journal,
n is the Number of Postings over and above the maximum
y is the period number.

You will be able to post the journal if you wish.

Every time a Period End is run, the system will scan all the Recurring Journals and compare the Postings per period to see how many postings have already been made to the Journal for the Period being closed.

If the Postings per period field is 0, then the Journal will be ignored by this checking and reporting process regardless of how many postings have or have not been made in the Period. This means that the new feature will not affect existing users of the software when they upgrade, unless they start to use this feature.

As soon as the system finds a Recurring Journal where the Number of Postings is lower than the Postings per Period, a message is displayed:

'One or more recurring journals have been posted less often than required for the period. Do you wish to print a list of them?' Default to YES.

If NO - then continue with the Period End as normal

If YES - then a report (below) will be printed and the Period End procedure will be cancelled.

The report prints all Recurring Journals where the Number of Postings is lower than the Postings per Period. The report will show (left to right across the page):-

You can then choose which Journals need posting and run the Period End again. If you do not post all the Recurring Journals indicated by the report, then the next time the Period End is run a similar message will be displayed, and you can choose whether to print the report again or continue with the Period End.

The system will count and store how many times each Recurring Journal is posted in any Period in the Current Year and Next Year.
