(Debtors) Statements
Whilst you are contacting your Customers, you may wish to print a sales statement for them.
This option enables you to print statements for all Customer records or limit the statements produced by entering search criteria that must be matched by the record. By default, Statements are printed in Currency.
When using the Email output option, if you have created an Email Template and assigned it to the Customer via the Customer Document Settings, then the assigned template is used; otherwise the system defaults via this Statements dialog are used.
Remember, you can print sales statements for individual Customers from the Chase Debtors list.
Selecting the Statements option displays a selection window with a choice of statement options. From this window, you can enter a message to be printed on all statements.

Statements
Show report with :-
Zero Balance Customers - Includes Customers with Transactions from previous Periods that balance to zero.
Fully Allocated Transactions - Includes Transactions from the current Period, or selected Period if Multiple Period is selected, that balance to zero.
Transaction Balance - Prints each Transactions original value, and the value of the outstanding amount to allocate. You may select either this or Running Balance.
Running Balance - Prints Transaction values outstanding to allocate, and shows the running balance of the Statement on each Transaction line. You may select either this or Transaction Balance.
Multiple Period - If selected, Multiple Period enables you to select the Period and Year to be used. If not selected, it defaults to the Current Period. The statements will be prepared for all unallocated Invoices that fall in the selected Period and Year. All unallocated Receipts will be displayed regardless of their date.
Currency (label not shown):
Home values - Shows all records with Home values.
Currency values - Shows Currency records only with Currency values.
2nd Base Values - Shows all records with 2nd Base values.
Statement Message
The Statement Message can be changed every time Statements are printed, it prints at the bottom of the Statement page. The Statement Message is only available on Sales Ledger Statements.
Combination options
Fully Allocated Transactions plus Multiple Period shows:
all outstanding transactions entered in or before the chosen Period, plus
any transactions entered in the chosen Period that are no longer outstanding.
Fully Allocated Transactions plus, from System Options - Documents, Statements - Allocation Match shows:
all outstanding transactions entered in or before the default or chosen Period, plus
any transactions entered in the default or chosen Period that are no longer outstanding, plus
any transactions that have been Allocated in the default or chosen Period.
If using Access Workspace:
Sync with Workspace - (on toolbar) This function first checks which Customers have signed up to Access Workspace, then excludes any Customers who either have Do not email from Workspace or Print only (below) selected. See Upload Customer Statements, below.
Print only - (default) This uses the output option selected on the toolbar.
Upload only - This uploads the Customer Statement to Access Workspace where they are viewable by your Customers. You are able to add a Statement Date when this option is selected. See Upload Customer Statements, below.
Print and upload - This uploads the Customer Statement to Access Workspace where they are viewable by your Customers. You are able to add a Statement Date when this option is selected. See Upload Customer Statements, below. It also outputs to the option selected on the toolbar.
Upload Customer Statements
The Upload Customer Statements screen is opened when you have one of the Upload options selected and after you click Print on the Statements screen. If you have selected Print and Upload then the Statements will be printed first. Once any print run is complete, the Upload Customer Statements screen opens.
This screen consists of a list of Customers matching any Statement search criteria entered.
Show all customers
(default) When this option is selected then all customers that match the search criteria entered on the Statements screen (or Simple Search) are displayed.
Show customers with email addresses
When this option is selected then all customers where the Statement address has an email address and that match the search criteria entered on the Statements screen (or Simple Search) are displayed.
Show customers without email addresses
When this option is selected then all customers where the Statement address does not have an email address and that match the search criteria entered on the Statements screen (or Simple Search) are displayed.
Update Statement Contact details
When this option is selected then any First Name and Surname entered in the list is updated to the Contact details for the Customer Statement Address.
