Chase Debtors - Aged Analysis View

The toolbar options and the right click menu for this window are described in Chase Debtors topic.

When you select the Chase Debtors option, you will be prompted to run a search to build a chase list to work from. If you select to view this list in the Aged Analysis View (the default), the Chase Debtors Aged Analysis window will open; alternatively, you can choose the Summary view. From this window you can also choose to Attach Documents.

This window lists the transactions that match the search criteria you have entered. The transactions are grouped by Customer and ordered by Customer Code and Transaction Date.

Depending on whether the Working Periods feature is enabled and on your Security Profile permissions, it may be possible for you to continue to post financial changes, for month end procedures, even after the posting period has been advanced; in this situation the Period becomes a drop-down and you can select the appropriate period.

When the list is initially displayed, there will be a summary row in the list for each Customer. Click the arrowhead icon to expand the summary row to see the transactions that make up the debt.

The Debt Status and Credit Controller can be set and changed for any of the transactions. To make entries in the Debt Status field or the Credit Controller field on this window, you must first click on the Edit button.

The Query column on the Aged Analysis view shows the Dimensions and Access Workspace query status of each transaction in the format: Dimensions query status/Workspace query status. For example: where the transaction has not been queried in Dimensions or Workspace then 'NO/NO' is shown, whereas if the transaction has been queried via Workspace but not in Dimensions then 'NO/YES' is shown.

From this window you can:

  • Enter the Next Contact Date against a Customer Record. The Date field can optionally update the Diary.

  • Enter Payment Promised Date, which can optionally update the diary,

  • Enter Payment Promised Value against a Customer Record.

When these 3 fields are updated, the Credit Control Notes are also updated; however, these fields are only available when a customer (not a transaction) is selected.

  • View Customer account details enabling you to contact the Customer whilst viewing their outstanding transactions.

  • View Sales transactions and outstanding orders.

  • Reprint an invoice or credit note.

  • Enter a receipt, allocate payments or correct existing allocations.

  • Print a statement or send a letter.

  • Put an account On Stop or set the query flag against a transaction.

  • Update the Next Contact Date for the Customer and update the diary.

  • Enter a date and value for any promised payments that result from your call.

The order of the information in the window can be changed by clicking on the column headings.

If you wish to refine the search or run a different search, the search window can be re-opened by clicking the Search icon.

Attach Document

The Attach Document window can be opened from the right-click menu on the Chase Debtors - Summary and Aged Analysis windows.

From this window, you can attach a document file to the record of the currently selected Customer.

To attach a document:

  • On the Attach Document window, click the Browse button to search for the file you wish to attach to the selected record. The details of the Access Accounts module, Record and Transaction will be shown in the upper right pane for the selected Customer.

  • Select the file. The location path for the selected file will be shown in the text box at the bottom of the window.

Clicking on the search button enables you to view the file contents.

  • Enter the Description for the file.

  • Click on the OK button to attach the file.

The list of documents already attached to the selected record can be seen by clicking the Documents icon on the window toolbar.
