Suppliers - Aged Credit
Displays a summary dialog which shows the current Customers/Suppliers Aged Analysis.
The ageing periods reflect your selection in Ageing Method. You may have chosen a different breakdown of days (e.g. 30, 60, 90), or you may age your debtor/creditor aged balances by month names, e.g. June, May, April, March, And Before.
The displayed values are automatically updated when you open the Aged Debt window. Transactions appear on an Aged report if:
they were entered in or before the current ledger period
they still have an outstanding value.
In addition to the standard options common to most enquiry windows, the right-click menu provides the additional options of:
Reprint Invoice/Credit Note
Set Query Flag or Clear Query Flag. If you are using Query Types and have created a reason, then when you flag a transaction as disputed, you are prompted to select a Query Type; this allows you to group queried transactions for later analysis.
The Aged Analysis Enquiry window is opened from the Display toolbar button. This enquiry window enables you to examine the outstanding or unallocated transactions for the selected Customer or Supplier.
The Aged Debtors/Creditors Ageing process
For a Ledger in Current Period 1, an invoice entered in Period 1 and paid and allocated in Period 2, will not show as outstanding; however:
When Ageing Method is By Month:
If 'Multiple Period’ is selected, then the Current Year and Period are shown. It defaults to the Period as dictated by the system date but can be changed to be any period. This will be the 'as at' period that is used to age transactions entered before and up to that period.
The transactions included on the report will be all those with an outstanding value at that period end as selected, e.g. An invoice entered in Period 1 and paid and allocated in Period 2, will show as outstanding on a report for Period 1; however, it will not appear on a report for Period 2. In other words, the Allocation period of the transactions is used to determine whether a transaction should be included on an aged report.
The report headings refer to Years and Periods rather than specific months.
When Ageing Method is By Days:
If 'Multiple Period’ is selected then the current system date is shown. It can be changed and this will be the 'as at’ date that is used to age prior dated transactions. The transactions included on the report will be all those with an outstanding value at that date as entered. e.g. An invoice entered on 15 Jan 2000 and paid and allocated on 25 Feb 2000, will show as outstanding on a report dated 31 Jan 2000; however, it will not appear on a report for 29 Feb 2000. In other words, the Allocation date of the transactions is used to determine whether or not a transaction should be included on an aged report.
Aged Analysis Display
This Enquiry window is opened from the Aged Debtor or Aged Creditor window on a Customer or Supplier record by clicking on the Display toolbar button.
The Aged Analysis Enquiry window enables you to examine the outstanding or unallocated transactions for the selected Customer or Supplier.
