Enquiry from Records
Enquiry windows enable you to look at transactions, either for all records or for a specific record, while using other functions within Access Accounts.
The Enquiry window is provided to enable you to make "Enquiries" about the transactions in your data file.
Filters can be applied to ensure that only the transactions you are interested in are displayed in the Enquiry window.
You can look at just the Header information, or you can open up the transaction to see all the Detail lines it contains.
Further functions can be invoked from right click menus; these include "jumping" to additional Enquiry windows.
Information from the Enquiry can be copied and pasted into external applications such as Excel.
Access to Enquiries is controlled by your Security Profile.
Making an enquiry from a Record window
Enquiry windows have three modes: List Definition; Supplementary Information and Full Window List.
When an Enquiry window is opened from a Record window, the mode defaults to Supplementary Information and information for the Record will be retrieved.
This is not the same as an Enquiry window opened from the Enquiry option. Here, the mode defaults to List Definition to enable you to select Filters and enter Search criteria before retrieving any information.
Additionally, you can open the Project Record.
Any open Enquiry window can be changed to Full Window List mode to enable you to display more records on the screen.
From a Record window, an Enquiry window can be opened using the Transactions icon. The Enquiry will be filtered to display transactions for the current record only.
Enquiries can be activated from a Record window via a Summary window. For example, the T/o YTD, the Aged Debtor/Creditor, and Profit function icons. These Enquiry windows will also be filtered to display transactions for the current record only.
Enquiries can also be activated with a right click on a line in a Record List window. A menu of Enquiry windows will be displayed, select the one you require, the Enquiry will be filtered to display transactions for the selected record only.
The menu options available depend on the record type:
Sales & Purchase Ledger Records: Sales/Purchase Transactions, Outstanding Sales/Purchase Orders and Delivery Document History.
Nominal Ledger: Nominal Transactions.
Stock Control: Stock Transactions.
Costing: Costing Project Transactions.
Filtering and sorting the order of an enquiry
The Transaction enquiries default to show completed Orders and Transactions. The Filters can be changed to include Batched Orders or to show Batched Orders only.
The Outstanding Sales/Purchase Orders enquiry windows default to show Batched Orders only. Again the Filters can be changed to include Completed Orders.
The Filters can be displayed and changed by clicking on the List Definitions icon. When the list filters have changed, click on the Display icon to list the selected Transactions.
You can change the order of the items in the list either by clicking on the heading of the column you wish to sort by or by selecting from the Sort Order menu visible when in List Definition mode.
Building a list
To avoid your terminal being overloaded, by too many Transactions being retrieved, it is important to use the Filters and to enter Search Criteria to limit the list size you build. Change the window to List Definition mode to display the Filter and Search options.
The number of Transactions retrieved can also be limited by your System Control settings. On the System Options - System Format tab, set the Transaction Lists: Drill down Maximum List size: to limit the number of records retrieved. This limit will also apply to Drill down windows.
If a limit is set, the Previous/Next icons are used to fetch the next set of Transactions.

Actual Transactions by Period for the selected Bank or Cash Account. This applies to the Cash Book and Nominal drill downs only.

Sub Analysis type Stock - The Stock Enquiry windows can also be opened from the Quantity tab on the Sub Analysis window.
Weighted Average - This Enquiry window includes the menu options to view Home Value or Weighted Home Value. If Weighted Home Value is selected, when the list is refreshed, only Movements which have not been excluded from the Weighted Average calculations are shown.
