Error: 'The registration details do not match the details in the registration database'

There could be several causes of why this error message appears:

  • The license has expired and the new license file needs to be imported.

  • More than one copy of the license file is being used. Only one license file can be used within an organisation.

  • Date format on one machine is different from the others.

  • The version of the AOI Administrator application on your computer is different to the version of the AOI Registration application.

  • Ensure the default data connection in AOI Administrator is the same data connection (ODBC link) as used for logging in to Dimensions.

The details of how to check and resolve each reason for the error are given in the sections below:

Check if the licence has expired

  1. Open AOI Administrator.

  2. Select the 'File' icon (top left) and select About Access Office Integration. The ‘About Access Office Integration’ window appears.

  3. In the ‘Expiry Date’ field, check the date. If the date is highlighted red, the licence has expired and the Access tab may not be showing for this reason. A new licence file (key) will probably have been sent out and will need to be applied by each user.

  4. If the licence file is not available, contact support to request a new one.

  5. Once applied, open Excel. The error message should no longer appear and the Access tab should be visible.

Check if more than one licence file is being used

If when one user updates the license, the Access tab for other users disappears and for them the message about ‘The registration details do not match the details in the registration database' appears, then multiple licenses are being used.

  1. Find the location of the licence files in use and agree which one to use — ideally, the most recent one.

  2. Ask all AOI users to apply this licence.

  3. Once applied, open Excel. The error message should no longer appear and the Access tab should be visible.

Date format on one machine is different from the others

  1. Identify which machine is causing the Access tab to disappear on others. When applying the licence, check the Expiry Date format. If the format differs between machines, this is the cause.

  2. On the machine causing the issue (Machine A) and a working machine (Machine B), open Control Panel.

  3. Click Region.

  4. On the ‘Formats’ tab, check the ‘Format’ is the same, most likely to be ‘English (United Kingdom)’. If they are not the same, use the drop-down on machine A and select ‘English (United Kingdom)’ or whatever Format is being used on machine B.

  5. Check the ‘Short date:’ is the same, most likely to be ‘dd/MM/yyyy’. If they are not the same, use the drop-down on machine A and select ‘dd/MM/yyyy’ or the 'Short date:' being used on machine B.

  6. Check other date and time formats, though they are less likely to be the cause.

  7. On Machine A, apply the licence again and confirm the Expiry Date now shows the correct format.

Versions of AOI Administrator and AOI Registration

The versions of AOI Administrator and AOI Registration installed on your computer must match. Check them as follows. AOI Administrator:

  1. Click the Start icon.

  2. Click Access Applications.

  3. Click AOI Administrator.

  4. When the application opens, click the green icon in the top left.

  5. Click About Access Office Integration and note the version number in the General section.


AOI Registration:

  1. Click the Start icon.

  2. Click Access Applications.

  3. Click AOI Registration.

  4. When the application opens, note the version number in the top right.

If the versions differ, uninstall the incorrect one and install the correct version. Check with your IT team or other AOI users to confirm which version to use. See Install or upgrade AOI for steps.

Check the default data connection

  1. Click the Start icon.

  2. Click Access Applications.

  3. Click AOI Administrator.

  4. Click Data Connections.

  5. Click the default data connection (the one with the green tick).

  6. Check the name in the Datasource box. This name should be the same as the name of the ODBC link that the users uses when logging in to Dimensions.

  7. You can find the Dimensions ODBC name link by opening Dimensions and click More > > on the log in screen to reveal the ODBC link used.
