Emailed documents not sending from Dimensions

Emails out of Dimensions may be being blocked by the recipient email server, due to the domain portion of the From email address (the part after the @ sign) being different to server that is sending the email – which for an Access hosted Dimensions system, will be an Access server.

To allow the recipient email server to accept emails from an Access hosted Dimensions system, the Domain Name Server of the domain the emails are be sent “From” needs to have the sender policy framework (SPF) record updated to include an Access URL.

Which Access URL to include will be dependent on which Access SMTP email server is used to send the emails, as defined in the Dimensions email SMTP settings. To identify which SMTP server is being used, follow the article Dimensions: How do we enter or change the SMTP details for Email?

Then apply an update to the existing SPF record on the Domain Name Server (DNS) to add an additional include parameter as follows (this is usually performed by an IT networks administrator):

For Access SMTP server = theaccessgroup.smtp.com, use:

include:theaccessgroupSPF.smtp.com

For Access SMTP server = smtp.accessacloud.com, use:

include:spf2.accessacloud.com

Here is an example of what the resulting SPF record might look like. There are likely to be other URLs included as well for other domains.

v=spf1 include:theaccessgroupSPF.smtp.com -all
