An Alternative to deleting a user account that might be linked to transactions

The best thing to do with users who no longer use Dimensions is to put them in a security profile for other leavers. If a user is set up in Focalpoint and linked up to Dimensions, we advise that the instead of attempting to delete the user you create a new profile that has no permissions and name it leavers. Once this is done you can move that user into the leavers profile, we advise this because we cannot delete users in Focalpoint as they are linked to Transactions.

To create a profile follow the below steps;

  1. Login to Dimensions as an Administrator.

  2. Click on the System tab.

  3. Click on Profiles.

  4. Click on Insert.

  5. Click all of the ticks on the left side to turn them all to crosses, we don’t want these users to have any permissions.

  6. Add ‘LEAVERS’ to the code, or something else that’s relevant.

  7. Add in a relevant description.

  8. Click save when finished.


To add a user to this group, do the following:

  1. Login to Dimensions as an Administrator.

  2. Click on the System Tab.

  3. Click on Profiles.

  4. Click the next arrow until you reach the Leavers profile.

  5. Click Users.

  6. Highlight the user to add to this group.

  7. Click the right arrow.

  8. This will move the user into the Leavers group.

Note: We wouldn't recommend deleting profiles from Dimensions, as these are needed for audit purposes for transactions on the system.
