Stock Utilities
This utility enables you to select which transactions to exclude from the Weighted Average (WAV) calculations for Stock.
Access to this utility is controlled by Security Profiles.
WAV is based upon Movements In.
These include: POP orders; SOP Credit Notes and Purchase Ledger Landed Cost transactions.
All Stock Movements will be flagged as either 'include' or 'exclude'.
If marked as 'include' then the WAV calculation will include this movement.
If marked as 'exclude' then the WAV will ignore this transaction.
The utility will only be able to change the include/exclude flag on Movements in.
Excluding transactions by purging is not a recommended solution as the transaction history will be lost.
Fixed Weighted value - You can also exclude stock movements from the fixed weighted calculation as this is just the weighted calculation processed at a particular point in time rather than after each inward movement of stock.
Transactions that are currently flagged to be included in the next recalculation can be excluded. You may want to do this if a stock item was purchased at a vastly increased or reduced price which would have a distort the weighted value for the period.
An excluded transaction can be included in the next recalculation of the weighted value by marking for inclusion using this utility.
Stock Utilities
Selecting this function displays a window where you can enter selection criteria to help you to locate the Stock records to be amended.
The Exclude from Weighted Valuation menu bar enables you to list either those movements currently included in the WAV calculation or those which are currently excluded. This works in a similar way to the Bank Reconciliation.
You can search for Stock Movements in a number of ways, by Stock Code, Sort Key, Sub Analysis, Movement Date, Account Code, Transaction Reference, by Year and by Period. You can also select by User Keys, click on drill to display a list window.
There is a drill down list available for Stock Code, Sort Key, and Sub Analysis code. The Year can be selected from a pull down menu.
The search criteria can be a Range, Begins, Contains, Equal, Not Equal or Exclude.
Click on Display to list the selected records.
The selected inwards Movements are displayed in a list.
Select the movements that are to be excluded/included and set the update flag to Y. Multiple lines can be selected using 'Ctrl + click' or 'Shift + click'.The switch all button will set all the movements in the list to Y; the switch line button will set the selected movements to Y.
Once the transactions have been selected and set to Y, click on OK to action the changes to the selected records.
When the update is complete, you will be prompted to print the Revalued Weighted Value List. This report should be printed in landscape format, check the page setup from the File menu before printing.
Viewing the Exclude/Include flag on the Stock record
The current status of the Excluded from Weighted flag can be seen on the Transactions enquiry window when viewed from the main Stock record.
The Excluded from Weighted flag is displayed as YES or NO in a column to the right-hand side of the window.
The View option, to the top right-hand side of the window, can be set to display Weighted Home value, this will filter the transactions by the Exclude/Include flag and limit the list to the transactions that have been included for Weighted Average valuation.
To view all the transactions, select Home. All Movements out will also be shown.
The current status of the Excluded from Weighted flag can also be seen from the Sub Analysis record when looking at the Physical Stock enquiry from the Quantity tab card.
