Stock Purge
The Purge routine allows you to remove stock movement records.
When you select Purge from the Stock Control menu, you can define which stock movements are to be deleted by providing search criteria.
However, once the records of stock movements have been removed they cannot be recovered other than by restoring from a backup.
Subject to the limitations described below, you can run the Purge routine whenever you like.
Limitations
If you are using Fixed Weighted as your stock valuation method, you must run the Weighted Value Recalculation process before purging.
If you are using FIFO as your stock valuation, the purge will be limited to movements that are no longer required for the calculation of a FIFO value.
If you are using the Update Stock to Nominal option, you will not be able to purge the stock movements unless you also purge the associated nominal journals.
Running the purge process
Before running the purge:
Print and check all movement reports.
Update your stock valuations from the Snapshot window, opened from the Company Details window.
Run the Weighted Value Recalculation process if you are using Fixed Weighted as your stock valuation method.
Take a back-up of your data. Once the purge process has taken place, stock movements can only be reinstated by restoring from a backup.
Delete Movements for
Here you can enter search criteria to limit the purge to a range of stock items. You can select the movements that are to be deleted by Stock Code, Sort Key or Sub Analysis.
Delete
Movements up to date - enter a date in the offered field. The purge does not include movements for the date entered, e.g. if you have a movement on the 9th January and you wish to purge it, you would enter 10th January in the 'Movements up to date' field.
All Movements
Sub Analysis Records - after Sub Analysis movements have been purged, you can also remove the Sub Analysis headings from the stock records if you wish.
Include Serial Numbers no longer in stock - movements for serial numbered items can only be removed if there is both an In movement and an Out movement, i.e. they are no longer in stock.
Landed Costs
The Purge routine includes the Landed Costs.
When Sub Analysis transactions are purged from the system, then any associated Landed Costs are also purged. There is no separate option.
This will affect the Stock record Transaction drill down only, not the Landed Cost tab card.
Weighted Average
As the Weighted Average is calculated from the stock movements, purging movements will re-evaluate the Weighted Average Per Unit (WAPU).
If you change your stock valuation method:
It may be a good idea to purge old stock movements so that the Weighted Average is immediately correct.
If transactions are not purged, then you should be aware that it may take a short while for the Weighted Average to settle down.
Remember, your auditors should approve any change to your stock valuation method.
