Output to fax enabled Tick this option to make fax available as an output option.
Zetafax
The settings will default to those used by the Zetafax driver but you have the option to use a Tobit fax driver if this is available.
On the Zetafax default settings, the fields listed on the left are those where the data will be sent from DimensionsHorizons to Zetafax.
You cannot add extra fields; if you require extra fields you will have to handle the transmission of fax documents direct from the Zetafax software, in which case all the information will have to be entered into the Zetafax address book.
Whichever fax software you are using, you may overwrite the default settings to work with another fax driver, however only those drivers shown in the Software menu have been proven by Access.
The fields default to the settings required, though if necessary, you may have to select the correct Print Driver.
The Report Section menu enables you to change the display to show the Report Header or the Report Footer settings.
Insert enables you to enter an alternative set of driver commands, when available.
Duplicate enables you to create a copy of the currently displayed settings to add or remove extra fields (not Zetafax).
To add more fields to the settings, click Duplicate icon on the toolbar.
The system displays a pop up window for you to insert a Software Name.
Enter a Name and click OK.
Now you can add extra fields by simply left clicking the mouse cursor on the field name till the cursor turns to a Hand icon and then dragging the field to the left hand area to the position it is to appear.
You can remove the fields in the same way.
After you have edited the Report Header, select the Report Footer from the Report Section menu and add or remove fields.
Click the OK button on the toolbar to save the new settings.

Coversheet for Zetafax
A coversheet (or cover sheet; cover page; covering page) is just a page of explanation about the fax; it introduces the document.
How do I create a coversheet?
We recommend that you use the Zetafax Coversheet Editor as it is provided for just this purpose.
The editor allows you to create and edit cover sheets for use with your faxes.
It allows you to import image files, such as a company logo, scale and position them, and add text and other fields.
For flexibility each coversheet consists of two files:
Background file, containing fixed information such as a company logo.
Foreground file, containing text specific to each fax, such as the name and organization.
The Background file is optional and can be omitted if you include all the fixed information in the foreground file.
The Foreground file is stored in fax merge format with an extension of .epn.
The Background file is a graphics file with extension of .g3f for fine mode faxing or .g3n for normal mode faxing.
You will need to use word-processing software to create the background file (such as MS Word) and the Help in the Zetafax Coversheet Editor explains how this is done.
In this topic, we will just explain the creation of the Foreground file to get you started.
Create a coversheet foreground file
To run the Coversheet Editor
Open the Zetafax Client software and, from the Tools menu, select Coversheet Editor.
To create a new coversheet
On the File menu in the Coversheet Editor, click New.
The New Coversheet dialog box will be displayed enabling you to select one of the coversheet templates.
Either:
Select New blank coversheet to display a blank page in the Coversheet Editor window and click the OK button.
Or select an alternative coversheet from the list to display a template in the Coversheet Editor window and click the OK button.
Modify the coversheet page by adding text fields, merge fields, boxes and lines (see notes below).
When you are happy with the coversheet, save it by selecting the Save As option from the File menu.
You will be prompted to enter a name and description for your coversheet.
This is the name that must be specified in the Cover Page field on the Fax Settings window. Only the name is required; the file is held on the Zetafax server.
When you have entered a name and description, press OK to save the file.
You can now use the coversheet the next time that you send a fax.
Modify the coversheet page
Please refer to the Help topics in the Zetafax Coversheet Editor for full details, but in summary:
To add a text field
Adding a text field allows you to add information to your coversheet that is going to remain the same between faxes.
Click on the Insert Text button.
Choose where on your fax you would like this information to appear and click the left button on your mouse.
Type the text you wish to add.
To add a merge field
Adding a merge field to your coversheet allows you to add fields that will personalize your coversheet.
Click on the Insert Field button to display the field menu.
Select the field you would like to add to the coversheet.
Choose where on you fax you would like this information to appear, and click the left button on your mouse to add the field.
Insert a line
One or more lines can be added to your coversheet to form separate sections.
Click on the Insert Line button.
Draw a line by holding down the left button on your mouse and moving the mouse till you get a line of the desired size.
The line is added to your coversheet.
Insert a box
Boxes can be added to your coversheet to allow information such as any notes to be separated from the rest of the information on the coversheet.
Click on the Insert Box button.
Draw your box by holding down the left button on your mouse and moving the mouse till you get a box of the desired size.
The box is added to your coversheet.
Format text
By clicking the right button of your mouse over any text or fax field, you will be given options to edit the formatting of that text.
You can: change the font; edit the text or change the fax field; justify the text or fax field; delete the item.
Move fields
All fields can be moved by selecting them with your left mouse button and either dragging them or using the arrow keys on your keyboard.
Fax Settings for Zetafax
The control settings for your Fax software must be entered on the Fax Settings window.
This is accessed from the System Options - Documents tab.
The settings will default to those used by the ZetaFax driver.
Version information
Zetafax from v11.0.573 and later are supported.
The basic options will be set in the Access Accounts Fax Settings.
If you have the Zetafax API enabled, then further options can be utilised.
Information about these further options can be found in the Zetafax Help.
This is the file Zetafax API.chm and is usually installed to C:\Program Files\Zetafax Server\ZFAPI\Help.
Run the Zetafax API.chm file to open the Help and see the topic on Embedded addressing.
We do not support all of the Zetafax APIs (please refer to the Zetafax API Help) and Access Accounts contains fields that are not supported by Zetafax.

Printers
Access Accounts should work with any printer. Printing problems are almost always due to printer drivers or to the network. Further difficulties may occur if fonts are changed as this can upset the spacing of reports.
If printing problems occur, you should try changing the printer driver.
Print drivers generally belong to 'families’, e.g. Epson®, Hewlett-Packard® etc. and a driver from the same family will be similar and may solve any problems you may be encountering.
The exceptions are the more sophisticated printers which may have extended drivers to cover all the commands available.
Most printer manufacturer's web sites have the latest drivers, which can be downloaded.
However, the printing demands of Access Accounts are very simple and often do not need the clever features that the printer may have, so the use of a simpler driver of the correct 'family’ may work just as well or better.
Using dot-matrix printers for formatted documents, Invoices etc.
The suggested default drivers when using dot-matrix printers are as follows:
9 pin Printers FX85, FX100, FX100+ drivers.
24 pin Printers LQ850.
Using Laser Printers for Wide reports
If your printer uses Postscript, you may scale the output of Wide reports so that all the information will fit on the page. If you do not have Postscript, then Wide reports will print on two pages.
Selecting a different Printer
To select a different printer:
Select Page setup from the File menu.
The Print Setup window will open, select the printer you wish to use.
Adjust the Paper and Orientation settings for the report you are printing.
The paper and orientation settings are not saved per printer.
Further adjustments can be made by clicking the Properties button on the Print Setup window.
