Email Templates
The Email Templates function provides you with the ability to create email templates for your Sales Statements, bulk-send SOP Invoices, Purchase Orders and Remittance Advice documents.
You can add fields to the message, e.g. Dear <customer name>, and once created, you can set the template as a default against an individual Customer. Email Templates provides extended functionality, especially if you use Web-based email without an email software application such as Outlook.
Toolbar
The toolbar contains the standard record controls: Insert, Edit, Delete, and Duplicate.
When you have created your template, you should select OK to save, or Cancel to abandon any changes and close the form.
Record pane
Name - You should give your template a unique Name. Saved templates are shown in the left-hand list pane.
Plain Text / HTML - Decide whether the email will be Plain Text or HTML. Plain Text should be selected when you desire simple, character-only, static text. HTML should be selected when you want to use formatting such as fonts, colours, or images, or where you want to add dynamic content such as <customer name>.
Type - Choose either SOP Invoice or Sales Statement from the menu. Each template can only be associated with one Type, although each Type can have multiple related templates.
Default - you can choose one template of each Type to be the Default template.
Subject - Here you can specify the contents of your email.
Body - If you have selected Plain Text then what you type in this textbox is what will be sent when you choose this template. Alternatively, if you have selected HTML, you should click the Body field to open the separate HTML Editor window, which presents you with a number of formatting and editing tools, including the ability to Insert Field from the underlying database (e.g. Customer Name), based on your Type selection.
