WO Control - Build Works Order
Open the Works Order Control window from the Works Order Control option and use the Works Order Search to locate and display the Works Orders you wish to work with.
Build Works Order
When all the components have been issued to a Works Order, then that Works Order can be built.
Select the Works Order you wish to build and click Build Works Order.
Remember, a Child works order is a component of the top level works order to which it is related. All Child works orders must be built and issued to the Parent works order before the Parent order can be built.
Finished items can be issued automatically to parent works order by selecting this option on the Build Works Order window.
Build Works Order window
The full functionality of the Build Works Order window will only be available if the Works Order can be completed.
A Works Order can only be completed if:
All the child works orders, that form part of the works order, have been built and completed.
Enough components have been issued to the works order to allow, at least, a part-build.
When the works order is completed you will have the opportunity to:
revise the quantity that are to be built and return excess components to stock or write them off.
scrap items that have been built but are below standard and are not to be retained in stock.
add costing information.
allocate the finished items to Sales Orders.
If only part of the works order can be built, perhaps because not enough stock has been issued, the Build Works Order window will be displayed as a smaller window with limited functionality.
Part Build
If only part of the works order can be built, because not enough components have been issued, the Build Works Order window will be displayed with limited functionality.
A Quantity to Build will be suggested. This will be the maximum that can be built with the issued components.
You can reduce this quantity to build just the number you require.
If you do not intend to build the full quantity but wish to complete the works order, ticking the Complete Works Order option will extend the window to enable you to complete the works order without building the full requirement. Excess issued components must be returned to stock or written off.
Build part of requirement
The Requirement, Already Built and Outstanding quantities for this works order are shown to the right hand side of the window.
The quantity Available to Build is also displayed.
A reference date will be shown, this can be edited.
If you have future period posting privileges you can select the Period and Year to which the transaction will be posted.
Enter the quantity to be built. This can be less than the quantity available to build.
Enter Project and Cost Centre information for Costing if required.
If you wish to complete this works order, tick the option. Completion of works orders is described later in this topic. For now we will just build part of the requirement.
When you have entered a quantity to build and checked the other fields are complete and correct, click OK to activate the build process.
Rounding differences
You may experience rounding differences when using partial quantities of components and this may result in you being unable to complete the build without issuing additional components.
For example:
Our assembly stock item, WD, requires 3.75 parts of component A. A works order for 1 WD item is created and the components are fully issued.
A partial build of 0.5 of the assembly WD is processed. This uses 1.88 of component A (because of rounding) and this leaves only 1.87 of component A available to complete the works order. There is now an insufficient quantity remaining to build another 0.5 of the assembly WD as it is calculated that 1.88 is required.
An additional quantity component A must be issued.
Full Build
If all the child works orders, that form part of the works order, have been built and completed and all the required components have been issued to the works order, then the full requirement quantity of the works order can be built.
The Build Works Order window will be displayed with full functionality and the Complete Works Order option will be selected automatically.
If you do not wish to complete the works order at this time, the option can be de-selected.
You can then return to complete the works order at a later time.
Child works orders must be completed before the top-level, parent works order can be built.
Build full requirement
The Requirement, Already Built, Outstanding and Available to Build quantities for this works order are shown to the right hand side of the window.
A reference date will be shown, this can be edited.
If you have future period posting privileges you can select the Period and Year to which the transaction will be posted.
The Quantity to Build will display the requirement quantity unless some stock has already been built, in which case it will display the quantity available to build.
Enter Project and Cost Centre information for Costing if required.
If you are building a child works order that, when built, will be a component of another works order, you will have the option to Automatically issue the finished items to the parent works order. If this option is not ticked, you will still be able to issue the item from the Works Order Control window.
When you have checked all the fields are complete and correct, click OK to activate the build process.
Part Build and Complete
If you decide that you do not wish to build the full requirement quantity, a works order can be part built and completed by returning the excess issued components to stock or by writing them off.
When building and completing a Works Order and returning and writing off partial quantities of components, rounding of values on the return and write off movements can mean that more is moved out of WIP than was originally moved in. For example: if it is possible to use partial quantities of a component, you may choose to return 0.5 of a component and write off 0.5 of a component. If the original value of the component was 10.99 both the return and the write-off movements will be rounded to a value of 5.50. This will leave a balance of -0.01 on the WIP account.
Build part of requirement and complete
The Requirement, Already Built and Outstanding quantities for this works order are shown to the right hand side of the window.
The quantity Available to Build is also displayed.
A reference date will be shown, this can be edited.
If you have future period posting privileges you can select the Period and Year to which the transaction will be posted.
Enter the quantity to be built, this can be less than the quantity available to build.
Enter Project and Cost Centre information for Costing if required.
Tick the Complete Works Order option. The Build Works Order window will be re-displayed with full functionality.
If you are building a child works order that, when built, will be a component of another works order, you will have the option to Automatically issue the finished items to the parent works order. If this option is not ticked, you will still be able to issue the item from the Works Order Control window.
The components will be listed on the Return/Write Off Details tab card.
Select each component with excess issued stock and enter the quantity of the item that is to be Returned to stock or Written off in the fields below the tab cards.
Note: If components that have been over issued are not returned to stock or written off, the cost of these items will be included in the cost of the built items.
If some of the items that have been built are below standard and are not to be retained in stock, these can be scrapped by entering the quantity in the appropriate field.
When you have checked all the fields are complete and correct, click OK to activate the build process.
Scrapping Finished Goods
If you wish to scrap finished goods from within the Works Order processing module, you must do so when they are built.
This means that you will have to complete the works order.
This may also mean that you have to complete a works order that still has an Available to Build quantity.
In this case you should return the excess issued components into stock and complete the works order.
You should then create a new works order for the remaining requirement quantity if you still wish to build this item.
The alternative is to allow the built items to go into stock and then post a Stock Adjustment to deal with the write off to the scrapped finished goods account.
