When you are creating a price list and you choose to select Customers or Products by Code:

  • A Search window will open to help you to reduce the number of records returned to the wizard.

  • Using the search should help you to find the records you are looking for without having to scroll through a long list.

  • You can still return all the records to the wizard by clicking OK without entering any criteria.

Example

You are creating a price list for this month's special offers. The price list will be available to all the Customers in the East Anglia region plus your top three Customers from the Southern region.

When you get to the Customer selection window:

  1. From the drop-down list, select the sort key that stores the Regions and select 'East Anglia'.

  2. Move the value 'East Anglia' to the right-hand list.

  3. From the drop-down list, select Account Code. The Search for Customers window will open automatically if this option is selected in the matrix settings. Otherwise click the Look-up function to open the search window.

  4. Enter the search criteria that will locate the additional Customers you wish to add.

For this example:

Select the sort key that stores the regions; change the search operator to Equal and enter or select 'Southern'.

Now select the sort key that stores the Sales Rating and enter a range from 1 to 3.

  1. Click OK to activate the search.

  2. The accounts that match the search criteria will be displayed. Select those that are to be part of the promotion and move them to the right-hand list.

  3. If you need to open the Search for Customers window again, you can do this by re-selecting Account Code or by clicking the Look-up function.

The process of searching for Products from the Products selection window is the same.

The Search window

The window is very similar to the Simple Search window that you will have used when preparing reports in the accounts application.

Enter search criteria and click OK to run the search.

The records that match all the search criteria will be returned to the wizard.

If you need to revise the criteria you have entered, click the Look-up function on the wizard to open the search window and change the criteria.

Range

The search operator menus will default to Range and there will be two fields into which you can enter the start and end values for range.

Click the operator menu to select a different option such as Begins; Contains; Equal.

Most of the operator options will only have a single entry field.

The look-up function alongside a field will open a list window to enable you to find and select the value for the field.

When entering a Range, make sure the cursor is in the field to which you want the value returned before opening the look-up list.

Clear will clear the search criteria fields and reset the operator buttons.

OK will run the search and close the window.

Cancel will run the search without any criteria and close the window.
