Price Records
Price Records contain details of priced goods or services that can be entered on transaction detail lines. They are used when Stock items are not appropriate, or are not being used.
Price Records can have Linked Items which work in the same way as Linked Items for Stock records.
Whenever the Price Record window is displayed, further functions giving details for that Price Record are available.

Info.
This window contains information that is updated by the system:
Created on
The date the record was first entered into the system.
Last changed
The date this record was last changed.
Level
This field enables you to set the access rights and restrictions for the record. The Level is a numeric value between 1 and 9999, 1 being the highest level of access. Enter the level that is to be applied to this record.
Reverse Charge VAT applies
Tick this option if the price record falls under the Reverse Charge Accounting procedure.
Caution! Please refer to the Reverse Charge VAT topic before using this option.
Inactive
Tick this option if you wish to flag the record as an inactive.
Nominal code for assemblies
This is only available if Update Stock to Nominal has been selected. It is possible to store the Nominal code to be updated when the Price record is used in an Assembly. There is a search button to enable you to display a list the Nominal codes from which you can select.
EC Info
Clicking the EC Info button displays a window where you may enter additional information for Price Records that are going to be sold for delivery into foreign EU States.
When EC SSD (Statutory Supplementary Declaration) Module is installed, the System will expect you to make an entry in all of these fields on this window. If you attempt to save a Price Record without entering all of this information the System will display a warning message.
It is your responsibility to ensure that you correctly enter and check the information, which is used as a part of legal reporting.
Fields comprise:
Net Mass kg
Net mass per unit in kg (weight including immediate packaging). The field accepts 13 characters; exponential can be entered. The units shipped will be multiplied by the Net Mass kg and rounded for the report.
Country of Origin
Enter as applicable. This information is needed when generating Intrastat reports.
Commodity Code
Enter as applicable. This information is needed when generating Intrastat reports. There are two types of recognised Commodity Codes, 8-digit for exports and Intrastat reporting, and 10-digit for Importing.
Dimensions
only uses the 8-digit Commodity Code. See www.gov.uk for further information.
Supplementary Units
The number of units in a consignment.
Type
Click the adjacent lookup button to open a popup pane where you are able to choose the Supplementary Units type, i.e. gram, litre, Gross Tonnage, etc. When you enter a recognised Commodity Code this field is automatically populated; however you may change the default as required.
Service
Click on the Service check box to flag. The Service checkbox should be flagged for a Price Record for which EC Reverse Charge VAT for supplying services is applicable (this is required for the EC Sales List report). When entering a transaction and a price record is selected that is flagged as a service, the Service flag is automatically set as 'On' and the VAT code 'X' set as the default. Apply Place of Supply VAT Rules
Tick the checkbox to indicate that Place of Supply VAT Rules apply, so that the correct VAT Rate is used on a Sales Order Detail line and when reporting your VAT Return. When ticked, you are prompted to confirm that you have created all the necessary Country VAT Rates. See Supply of Services VAT for further information.

Profit
Clicking the Profit function displays a window showing a summary of the profitability of the currently displayed Stock or Price Record. The figures are for the current Nominal Ledger Period and current Nominal Ledger Year. This window will only show information where the Stock item or Price item has been sold. Until the moment of sale, there is only potential profit, not actual profit. All figures are based on Orders which have been Delivered/Invoiced, i.e. Batched Orders are not included. Click on the drill down to view the related transactions in the Stock Profit Enquiry window.
Note: the Stock Profit Enquiry window displays the transactions according to the Sales Ledger Period and Year.
Price Records
Code
Enter or lookup. This displays display a list of the Price Records that have been entered. You can select the one you want by clicking on it. This list can be made more selective, and can also be sorted in a variety of sequences.
Sort Key
You can give this record a Sort Key, which can be used for selective reports.
Do not process on own
If selected, this option will stop this Price record from being invoiced on its own. This option may be useful for items such as Delivery charges.
Enable RTP
This flags this Stock item so that when it is used in Sales Orders, it will be added to a list of items that may require a Purchase Order to be raised.
Description
A brief description of the Price item. If languages have been set up, the prompt will be a menu, from which you can select the language to be used for this Price item.
Text
This field will be entered by the System into the Detail field on SOP/POP Detail lines, where it can be overtyped or cleared if required.
Selling Price/ Cost Price
You can either enter these, or leave them at zero so that you can put in these details when using the item in a Transaction. If a price is entered here, it can be over-typed on the Transaction. Clicking the adjacent drill button opens the relevant Price Table where, in addition to managing prices, you can also set the Analysis Codes that you want to use for this record. These will override the Analysis Code that has been flagged as the Default Sales or Purchase Analysis Code.
Works Order tab
The fields on this tab should only be completed for Price records that are to be used in a Works Order process.
If the Works Order Processing module has been unlocked and you are using Update Stock to Nominal, an additional tab card will be available on each Price record. This tab card is called W/Orders and is used to record the analysis records that should be used when the Price record becomes part of a works order process.
If any of the fields on this tab are left empty, the default Stock codes set up in System Control will be used.
The W/Orders tab contains fields in which you should enter the analysis codes to be used for this Price record if different to those set as system defaults; these should all be Stock Type Analysis codes. Default codes, created with the database, can be edited, or you can create your own.
