Process Batch Selection

Processing follows the same pattern for each of the options; the first step is to select the transactions you wish to process. This is done by entering search criteria in the Batch Selection window and clicking to Display. Then the transactions to be processed can be reviewed before activating the update. The selection windows for Purchase Order processing are very similar; however, the window for Purchase Requests is described separately.

When you have entered the selection criteria and selected the options you want, click on Display; the Process Batch list window opens.

Orders search criteria

The options on this page allow you to select criteria to refine your search.

Not all fields are available for every Batch type.

Where there are From and To fields, if you leave the 'To' field empty, the search will be for everything from the From field onwards.

Find Orders with

The Find menu, which defaults to All Orders, enables you to filter the orders to display just those with a particular status such as Hold.

Reqd. Date / Order Date

Enter a Date range to find orders falling between two dates.

Period

Enter a Period range to find orders posted in those periods. A year can also be selected; the Year menu defaults to All Years.

Account

Enter the Supplier code to locate orders for a particular Supplier. Clicking the search button will open a list of Supplier accounts from which you can make a selection.

Supplier Ref.

Search for orders that contain a particular reference.

Order No.

Enter a range of order numbers.

Batch Ref.

Enter the reference of the batch you wish to process.

O/S Stock Code

To search for orders that contain a particular Stock item. Clicking the search button will display a list of Stock Codes from which you can make a selection.

User Id.

In a multi-user system, you should always use the User Id. filter when retrieving orders for processing. If you do not enter your User Id. you will retrieve orders that other Users may want to process; these orders will then be unavailable to them and delay their processing.

Search for orders entered by a specific User. Clicking the search button will display a list of Users from which you can make a selection.

Department

Select orders for a particular Department. Clicking the search button will display a list from which you can make a selection.

Options

Not all fields are available for every Batch type.

Only Show Orders (Credit Notes) Requiring Authorisation

Available if you are using Purchase Control. The alternative label appears when processing batched Credit Notes. Ticking this option will limit the list to orders that are subject to Purchase Budgets authorisation. If this is selected then no other options have to be selected for the batch to load the appropriate transactions.

Exclude Unauthorised Orders (Credit Notes)

Available if you are using Purchase Control. The alternative label appears when processing batched Credit Notes. Tick this option to exclude orders that are subject to Purchase Budgets authorisation and currently unauthorised.

Deliveries to Update

Not available for Invoices or Credit Notes Batch-types. Filter the transactions to display those that have deliveries to update.

Partially Processed

Not available for Credit Notes Batch-types. Orders that have had some deliveries made and/or some invoices received.

Credit Notes to print

Only available when processing Credit Notes Batch-type. Select this option to display all Credit Notes where deliveries have been processed but credit notes have not.

Invoices (Credit Notes) to Update

Not available for Receipts Batch-type. Filter the transactions to display those that have invoices to update.

Accounts On Stop

Selects just the Orders/ Credit Notes for Supplier accounts that are On Stop.

Orders Waiting (BTB/RTP)

If ticked, the search will locate all the Purchase Orders created from batched BTB Sales Order detail lines. These will be displayed if they also match any other criteria you have entered.

Un-printed Purchase Orders only

Tick this option to select Purchase Orders that have not been printed and updated as having been printed.

Display:

Tick any applicable options for the type of batched transactions to display:

  • Normal Delivery Status

  • Self Billing/ Agency only

  • Urgent Delivery Status

  • Include Self Billing/ Agency
