Process Batch options
When you click OK on the Batched Orders list window, or if you select Detail and then enter an amount To Receive and/or To Invoice (see POP Batch Detail), the processing of the selected Orders starts by displaying the Process Batched Purchase Order Options window where you can select the follow on options that are to apply to each of these Orders in turn. (See also the Transaction Options selected when the Order was entered).
Some fields may not be visible, dependent on from where you are processing orders. For example, when processing orders from the Deliver Orders batch the Update Invoice, Invoice Date and Year/Period, Invoice Number, Description, and Disputed fields are not shown.
When you have finished, click on OK, and the selected Orders will be processed.
At the top of the dialog is information that identifies the Purchase Order and Supplier for which you are setting the options. You can then choose to Do the following:
Update Delivery -
If this is ticked, you should check the Delivery Date shown, and adjust if necessary. If you have been given the privilege of posting to Future Periods, the Year and Period will be menus which can be used to select which Period the Transaction is to be posted to.
The Update Delivery Financial Period & Update Invoice Financial Period displayed, or available for selection, depend on your Security Profile posting rights. These rights are also dependent on whether the Enable Working Period feature is activated in System Control. See Enable Working Periods.
Print GRN - Only shown if Update Delivery is selected. If you wish to print a Goods Received Note, select this box.
Confirm After Printing - Only shown if Update Delivery is selected. This forces you to confirm that the goods have been delivered.
Supplier's Delivery Note No. - Only shown if Update Delivery is selected. If this is known, it should be entered here.
Update Invoice
If selected, you should check the Invoice Date shown, and adjust if necessary. If you have been given the privilege of posting to Future Periods, the Year and Period will be menus which can be used to select which Period the Transaction is to be posted to.
Your System Settings will determine which Financial Periods can be selected when entering Purchasing Transactions. Please see the Period Soft Close topic.
Invoice Number - Only shown if Update Invoice is selected. If the Invoice is being disputed, tick the Disputed box. You must then enter the 'Invoice Number'.
Revalue Invoice Values - Only shown if Update Invoice is selected, and when the order currency is not the home currency and you have enabled the 'Recalculate home values from foreign currency' option in Purchase Order Options.
Currency Code/ Currency Rate - Only shown if Update Invoice is selected. Only visible if Revalue Invoice Values is enabled.
Description - Only shown if Update Invoice is selected. Shows the description from the Order Header, but can be edited if required.
Disputed - Only shown if Update Invoice is selected. If selected, the Invoice Number field must be completed. When flagged as being Disputed then when you save and when a Purchase Query Type has been saved, a Query Details for Invoice dialog prompts you for the Query Type. The Query Type allows you to flag, and therefore group outstanding transactions for later analysis. You are able to amend the Notes which will leave an update date/time stamp. You can also close the dialog without selecting a Query Type, or you can cancel/remove the Disputed status.
Update Cost Price - Only shown if Update Delivery is selected. Cost prices for stock items will only be updated as delivery is made. If delivery has already occurred before processing an order from the batch, the cost price will not be updated. If delivery is being processed as part of the update from the batch, then:
If only Update Delivery has been selected, this gives you the option of updating the Cost Price of any Stock Items in this Order with the price charged for them on this Invoice.
If Update Delivery and Update Invoice have been selected, this gives you the option of updating the Cost Price of any Stock Items in this Order with the price charged for them on the original Order.
Note: Both scenarios involve the settings in the Transactions Options that were used when the transaction was entered. This will not work if one Detail line has been allocated to multiple Sub Analysis codes, and you have not used the Option in Stock Options - Sub Analysis to Use Main Cost, and the Sub Analysis Codes have different Costs from the main record.
Allocate Stock Now
This option enables you to allocate new Stock received directly to outstanding Sales Orders in one continuous process. If selected, when the batch processes are complete the Stock Allocations Selection window will open for the stock codes that have been updated from the Purchase Orders just processed.
