Trial Balance, Profit & Loss and Balance Sheet
The options available when printing the Trial Balance, Profit & Loss and the Balance Sheet reports, are mostly the same. Selecting any one of these three reports will display a selection window.
Show report with :- Click the information you wish to include in the report.
Show Major Headings (Trial Balance only), will include the Major Headings on the report.
Show Accounts (Profit & Loss & Balance Sheet only), will print all the individual Nominal Accounts on the report.
If not ticked, the system will suppress the printing of individual Nominal Accounts so that only Major Heading totals and Category subtotals are shown.
Suppress Decimal Points (Profit & Loss & Balance Sheet only), will suppress the printing of the decimal places in values.
Show Zero Balance Accounts Nominal Accounts with a zero balance will be printed.
If not ticked the system will suppress the printing of Nominal Accounts that have zero value balance.
Include Budgets Figures Budget Comparison figures and percentages will be added to the report. If this is selected, a further option is available:
Include Committed Costs This will add the costs associated with Batched Purchase Orders.
Reports that include Budget figures are best printed to wide paper on matrix printers or printed at 80% reduction and landscape on laser printers.
Show Subtotals Only (Trial Balance only), this option is available for the Trial Balance Report if a Subtotal option is selected on the Sort Order/Subtotal window.
Home Values/Currency Values/Revalue Currency
The report can be printed for Home values or Currency values. The currency values report will be printed for all trading currencies for which you have a full nominal structure If you select Revalue Currency, an exchange rate field and lookup button will be added to the window. Select or enter the exchange rate to be used for the revaluation. The report title will indicate that it is a revalued report.
The three reports also offer a series of comparisons (see below) that are used in conjunction with the ‘as at period’ facility.
Note: When printing the Profit & Loss or Balance Sheet reports, it is important to sort by Major Heading as either the first or second priority.
If you do not, a message will warn you that ‘The Major Heading sort level is zero. This will mean the Profit & Loss will not subtotal correctly'.
Comparisons
Comparisons dsplays the comparisons selection window allowing various combinations of periods and years to be reported when used in conjunction with the As at Period facility.
When a Comparisons spans two years, selecting:
Current Year compares it with Last Year.
Next Year Compares it with Current Year.
Period with Year to Date* Is the default selection by the system and looks at a single year (either the Current Year or Next Year) and compares one individual period with the total for a range of periods, between Period ‘1’ and the Period number entered in the As at Period field on the main report window.
Period with Period* Compares a single period this year with the corresponding single period last year.
* Only used on Profit & Loss Report
Year to Date with Year to Date Compares the total of a range of periods, between Period ‘1’ and the Period number entered in the As at Period field, for each of the two years.
Year to Date with Whole Year Compares the total of a range of periods, between Period ‘1’ and the Period number entered in the As at Period field for one year, with the whole of the previous year.
39 Months (Spreadsheet only) Prints the period movement for every period in the Current, Next and Last Years.
Note: This Comparison report is restricted to spreadsheet output due to its width, 40 columns without budgets, or 79 columns with budgets.
