Access Crystal Reports - Nominal Ledger
A range of Access Crystal Reports are offered for the Nominal Ledger.
The reports cover:
Audit reports; Balance Sheet; Budget; Cash Book; Committed Costs and Income; Trial Balance; Nominal Accounts; Nominal Journals; Profit and Loss.
Initially the Access Crystal Reports window will list all the reports which can be printed for Nominal Ledger but the Show menu enables you to limit the list by filtering the reports by the first word in the report name e.g. Budget or Cash. Select the Show All option to display all the reports.
Processing the Access Crystal Reports
Select the report that you want to print.
Select whether you want to print to Screen or to Printer.
Double clicking on a report will print it to the currently selected output device.
Alternatively, click on a report, and click on Print or press Enter.
If printing to Screen, when the data has been retrieved, the report will be displayed in a new window, where you can further manipulate it.
You can then print it to printer, or send it by email (assuming that you have the relevant third party software and hardware already installed and running).
If you wish to set up a personal list of your favourite reports, select each of these reports and click on the Add to Favourites icon.
You can then use the Show All menu to display just your Favourite reports.
Trial Balance
The Trial Balance is normally printed for the Current Ledger Period but you can print the Trial Balance as at a particular date.
When you select to print this report, you will be asked to insert the date or select it from a calendar.
You can also select to include or exclude the Zero Balance Accounts in the report.
The Trial Balance will start with the opening balance for the year and include the turnover values for each period up to the period that includes the date entered. Then all the transactions in the period relating to the specific date, up to and including the date entered.
Clicking the Print icon on the Reconciliation window displays a list of Cash Book reports. Select the report you wish to print..

When a report is selected, additional option fields appropriate to the selected report will be displayed in the lower section of the window. These options are explained in the individual report sections of this topic.
Reconciliation Report
This prints a formatted report showing: the Opening Balance for the period; the Receipts and Payments for the period; the Closing Balance; the Reconciled Balance and the Unreconciled Receipts and Payments.
The report options enable you to select the transactions that are to be included in the report by date or period. This enables you to print a reconciliation report as at a year end or period end.
Report Options
All Transactions for the current period.
Up to Date with a date entry field.
Up to Period with a year selection menu and a period entry field.
All Transactions
The report shows all transactions for the currently selected account, for the current period.
The Opening Balance for the current open Nominal Ledger period.
Total Receipts - all receipts from the start date of the current open Nominal Ledger period forward.
Total Payments - all payments from the start date of the current open Nominal Ledger period forward.
Closing Balance for the current period calculated from the figures above.
Then it shows the Reconciled Balance (i.e. the amount that has been reconciled). If negative, this indicates a Credit balance.

The calculated Balance of the Unreconciled Payments and Unreconciled Receipts
The Cash Book Balance ( in this case = Closing Balance).
This is the balance of the Reconciled and Unreconciled values.
The figures seen on the report should match the equivalent figures on the main Cash Book window.
Up to Date
If you run the Reconciliation Report with this option selected, you will be required to enter a date.
The report then takes into account the date of the transaction rather than just the period into which it has been entered.
For example: If a transaction is entered in C1 with a date of 31 December but this date actually falls in L12, then running the Up to Date report for 31 December will result in this transaction being included.
So the report will include:
Opening Balance - the opening balance for the period in which the date falls. In our example: the opening balance for L12.
Receipts - the total of the debit transactions for the period in which the date falls, up to and including the date entered plus any transactions in future periods that have a date up to and including the date entered.
Payments - the total of the credit transactions for the period in which the date falls, up to and including the date entered plus any transactions in future periods that have a date up to and including the date entered.
Closing Balance - calculated from the figures above.

Unreconciled Receipts
The unreconciled items are the transactions which have a transaction date of less than or equal to the date entered, where the reconciled date is either blank or greater than the date entered.
Up to Period
Up to Period - If you select this option and select a year and period, the report will include:
Opening Balance - the opening balance for the period/year selected.
Receipts - the total of the debit transactions for the period/year selected.
Payments - the total of the credit transactions for the period/year selected.
Closing Balance - calculated from the figures above.

The unreconciled items are the transactions which have a transaction period/year of equal to or earlier than the period/year selected, where the reconciled period/year are either blank or later than the period/year selected.
Upgrade Note: The ability to report up to a date or period was introduced into Dimensions in 2008.To facilitate this reporting, additional information is being stored. When earlier databases are upgraded to this version, a Reconciled Date and Period will be entered into all transactions that have already been reconciled. This will be the system date at the point of upgrade and the period and year relating to the system date.
Statement Report
This prints a report showing Reconciled Transactions for a specific Statement Reference.
Entering a Statement Ref. enables you to report on a specific statement.
Entering an Opening Balance enables you to view the effect of the transactions from the selected statement on the figure you enter.
Using the Subtotal menu you can select various levels of subtotalling.
Full Reconciled Audit
Lists the Reconciled Transactions for the Year you have selected, and/or for the Statement Reference
This should match the Transactions on the Reconciliation list window with the same year selected, when Unreconcile is selected on that window.
This is useful for checking that Reconciled figure agrees with the Transactions.
Full Unreconciled Audit
A similar report, but for Unreconciled Transactions only. Only the Year selection menu is displayed.
This should match the Transactions on the Reconciliation list window with the same year selected, when Reconcile is selected on that window.
Print Displayed Transactions
Lists just the Transactions currently displayed in the reconciliation list, but without any subtotalling.
Select the report that you want, if necessary enter the selection information, select where the report is to be printed, and then click on the Print button.Access Crystal Reports for Carbon Emissions
Accounting for Carbon Emissions reporting is done via Access Crystal Reports.
By running these reports you can:
check your carbon footprint for a specific period of time,
compare your actual carbon usage for different years and periods,
use the actual information to prepare a budget,
compare your actual and budgeted carbon usage,
use the information to take necessary measures if you find that your actual carbon usage is exceeding the budgeted values.
The Crystal Reports for Carbon Emissions can be opened from Access Crystal Reports option.
All the reports are prefixed CO2 so that they are easy to find.
Reports can be searched by: Year, Period, Nominal Account, Group Heading, Division Heading, Emission Group and Classification.
Reports to check your carbon usage
CO2 Carbon Transaction List in Tonnes
This report prints the summary of carbon transactions providing total values by an Emission Group in tonnes. Use the search options to produce a report for the year/period you are interested in.
CO2 Overall Carbon Emissions per Head in Tonnes
It enables you to print a report of overall carbon usage by particular number of staff over a year and period range.
CO2 Actual Emission Group and Classification by Period in Tonnes
Use this report to see how the carbon emissions build up and the variation month to month.

CO2 Actual Vs. Actual 5 Year in Tonnes
CO2 Actual Emissions Current Year Vs Last Year in Tonnes
Once you have recorded your carbon usage data in Access Accounts, you can use this report to understand your carbon usage and assist you in preparing a carbon budget.

Because budgeting for carbon usage is a new skill, you will find this report useful to see how accurate your budget estimates were and to see how much over or under budget your actual carbon footprint is.
