In the Chart of Accounts Build screen, you are able to select any Nominal Account that already exists within the database and select to view Details. This screen will allow you to view additional options for the account and to view Financial information and create posting Profiles.

When Advanced Nominal Ledger is activated, you can see individual Nominal Account Details by selecting an account from the Chart of Accounts Build List, then selecting Record > Detail from the ribbon.

To use this window, at least one created Nominal Code must be displayed in the Build window. Only one Nominal Code can be selected at a time for viewing Detail. You must have appropriate Security Profile access to use this window.

Settings tab

Major Heading Name - Lookup from the Major Heading list

Name - This displays the name for the selected account

Currency - Enter or lookup the currency; your selection is displayed in the adjacent field and label.

Compulsory Costing - Default is set on creation of the record, based on the status of the Costing field on the “Detail” Category.

Account for Carbon - Default is set on creation of the record, based on the status of the Carbon field on the “Detail” Category. This is hidden where Enable Accounting for Carbon Emissions is set to off in System Options.

Carbon Usage Category - Enter or lookup from a list of Carbon Usage Categories. Default is set on creation of the record, using the EG value from the “Detail” Category. This is compulsory where Account for Carbon is on; however it is hidden where Account for Carbon is off.

Default Cost Centre - Enter or lookup from a list of unique Cost Centre codes.

Cash - Tick if this is a Cash account.

Bank - Tick if this is a Bank account.

Info. tab

Created On/ Last Changed - Read-only date fields automatically populated by the system when the account record is created/ changed.

P & L Year End Code - Allows entry of a Nominal Account code. This is compulsory for Profit & Loss type Nominal Accounts, i.e. Major Heading is in the range 1-6

Exclude from Journal Reports - Tick this checkbox as required.

Exclude from Record Reports - Tick this checkbox as required.

Centralised Account - Tick this checkbox as required. Only enabled for the default Sales and Purchase Control accounts for each currency

Allow Zero Budgets - Untick if not required. See Nominal Account Budgets.

Inactive Checkbox - Default is set on creation of the record, based on the status of the Inactive field on the “Detail” Category.

Reconcile - Tick if you want to be able to mark transactions posted to this account as reconciled. This is only applicable to Balance Sheet type Nominal Accounts (i.e. where Major Heading is 7 to 12).

Level - Allows numeric entry.

Reporting Code - Lookup from Reporting Codes. Automatically populated by the system with the Reporting Code that matches the Major Heading assigned to the account but may be changed. Description from the selected Reporting Code is displayed as a read-only field

Custom Tab

The Custom tab contains the fields specified for Nominal records in Custom Fields Configuration in System Control.

Profiles tab

When the Profiles tab is in Edit mode, you can:

  • Amend an existing row in the Profile by highlighting the relevant row in the list and then amending the editable fields below the list,

  • Add a new account to the Profile by highlighting an empty row at the bottom of the list and then amending the editable fields below the list,

  • Remove an existing Nominal Code from the Profile by highlighting the relevant row in the list and then using the Clear function,

  • Edit the general options for the Profile to specify which modules a profile posting is triggered from and whether a warning will be displayed to the user when a profile posting is to be made.

The following fields are editable:

Code - Enter or lookup from the Nominal Account record list.

Percentage - Cannot be less than zero or greater than 100.

Give warning when selected - Tick if required.

Update from Nominal Ledger - Tick if required.

Update from Sales Ledger - Tick if required.

Update from Purchase Ledger - Tick if required.

Financial Info. tab

Actual - Displays Period To Date (with drilldown to Turnover Summary) and Year To Date values

Budget - Displays Period To Date and Year To Date values

Difference - Actual less Budget. Displays Period To Date and Year To Date values.

Difference % - (Difference ÷ Budget) × 100. Displays Period To Date and Year To Date values.

Committed Value - Only displayed where Major Heading is 2 and where Nominal Budget Control is set to on in Purchase Orders Options. Displays Period To Date (with lookup to Nominal Committed Transactions Enquiry list) and Year To Date values
