Info.
The Info screen contains additional information about an Account record that is not displayed on the main record. Some of this information is read-only and is updated automatically by the system, and some of the information is editable by a user with the appropriate Security Profile access.
Created On - Read-only date. This is automatically populated by the system when a new record is saved
Last Changed - Read-only date. This is Automatically populated by the system when changes to an existing record are saved
P & L Year End Code - Alphanumeric entry field of up to 25 chars. This is only applicable to P&L type accounts (i.e. where Major Heading is 1 – 6), and is compulsory for P&L type accounts. This is automatically populated with the Year End default Nominal Account from the home currency record when a new P&L type account is created.
Exclude from Journal Reports - Tick if required. You can include the Nominal account from Journal reports by ticking this box. The account can still be included when you run the reports by ticking the Show Excluded Accounts box on the report selection window.
Exclude from Record Reports - Tick if required. When this is ticked, this Nominal account will be excluded from all reports run from the Record menu.
Centralised Account - Tick if required. This is only enabled for the default Sales and Purchase Control accounts for each currency. This feature provides a means of reducing the number of detail lines that are displayed or printed. This functionality has been superseded by the Enquiry windows where the transactions can be filtered to display only those of interest and, by default, only Header lines are shown
Allow Zero Budgets - Untick if not required. If you are using Purchase Control and this option has been ticked, then a zero budget for this account will be treated as 'Authorisation Required for every Order'. If the option is not ticked, a zero Budget will be treated as 'No Budget Restrictions'.
Inactive - Tick if required. You can flag the record as Inactive by selecting this option. Only records that are not in use can be marked as inactive. Inactive records will be unavailable for any transactions or reports. Please note that a Nominal Account record cannot be flagged as inactive if it has been used:
by another account as a Year End update account;
in transactions;
on a Sales or Purchase analysis record;
on a Price record;
as a Stock Assembly default nominal account;
as a Profile code
Reconcile - Tick if you want to be able to mark transactions posted to this account as reconciled. This is only applicable to Balance Sheet type Nominal Accounts (i.e. where Major Heading is 7 to 12).
Level - Numeric entry field. This enables you to set the access rights/restrictions for this record. Enter the Level number that you wish to use.
Reporting Code - Lookup from the Reporting Code List. When a code has been selected, the adjacent description is read-only. This is automatically populated by the system with the Reporting Code that matches the Major Heading assigned to the account but may be changed.
Centralised Account
In the Nominal Account Info window there is an option to flag the Account as ‘Centralised’. This will only be active for 'Control' Accounts.
In previous versions of Dimensions, this feature provided a means of reducing the number of detail lines that were displayed or printed. If Transactions were posted to a Centralised Account, then only the sum of the individual lines would be visible.
This had the advantage that when you drilled down on a ‘Centralised’ Account, you would only see one entry for each complete Transaction entry, thereby vastly reducing the number of entries displayed.
This functionality has been superseded by the new style Enquiry windows. The transactions can be filtered to display only those of interest and, by default, only Header lines are shown. Transactions can be expanded individually to display the detail lines you wish to see.
If you choose to use Centralised Accounts:
Transactions do not have to involve Centralised Accounts, but if they do, then all Nominals involved directly or indirectly (through the Analysis Codes), must also be for Centralised Accounts.
Transactions will test to ensure that only one Centralisation Account has been referenced in each complete Transaction.
Nominal Ledger Journals cannot be posted to Centralised Accounts.
When European Tax is turned on, the existing UK Nominal default VAT Control Account will be used to track the double entry of VAT re-distributed by the VAT rules.
