Nominal Summary enquiries

The Nominal Summary group on the Financials ribbon, comprises the following enquiries. Each enquiry is explained and summarised below. For further information on enquiries, please see the Enquiry Windows topic.

All of the Nominal Summary enquiries mentioned below use a common window to display the details; differences are specified against each enquiry-type, and general information detailed in the Nominal Summary window section.

All of the Nominal Summary enquiries use a common window to display the details. Differences are specified under the specific enquiry, and general information detailed here.

Toolbar

Print - this opens a standard Output window where you can choose the output destination for your Nominal Summary Report, i.e. to screen, to printer, etc.

Select Report Columns - this opens a window containing all possible list headings where you can select the ones to include in your report.

Expand All / Collapse All - these functions reveal/hide the transaction lines.

List Definition / Full Window List - these functions reveal/hide the Search, Sort, and Filter panes.

Trial Balance - this toggles the window to the Trial Balance enquiry. See below.

Profit and Loss - this toggles the window to the Profit and Loss PTD v YTD enquiry. See below.

P&L All Periods - this toggles the window to the Profit and Loss All Periods enquiry. See below.

P&L Comparison - this toggles the window to the Profit and Loss Comparison enquiry. See below.

P&L 12 Month Summary - this opens the Profit and Loss 12 Month Summary Enquiry. See below.

Balance Sheet - this toggles the window to the Balance Sheet enquiry. See above.

Options - this opens the Options window where you are able to define List Colours, Display units, what to show when the enquiry first opens, and the number of items to display in the list.

Display - once you have set your Search, Sort, and Filter criteria you should click Display to run the query and thus populate your enquiry list.

Output to Excel - This opens an instance of MS Excel with the on-screen Accounts and Headings pre-inserted so that you can do any required analysis of the figures.

Select Search / Save Search - Should you find that you use the same search criteria repeatedly, you may want to consider Saving the criteria configuration. These functions allow you to recall previously saved search configurations (All, or just your own), or to Save the current criteria.

Views bar

By default, this is located under the toolbar and above the column headings. The Views that are available are dependant on the Enquiry type selected. Details of the available Views are given in each Enquiries breakdown, above.

Where available, the period selected determines the forecast calculation.

For example, if Current Year Period 5 is selected then actual values are returned for periods 1 - 5 and budget periods for periods 6 - 13.

List pane

The following right-click options are available on the Nominal Summary Enquiry windows, except as noted.

View Detail

If you right-click View Detail when focus is on Transaction header, only the Comparison tab is shown. If a Transaction line has been expanded and focus is on Transaction detail, then 4 tabs are available with edit function.

  • Comparison Tab: Displays the actual, budget, committed and difference values for the selected category combination.

  • Notes Tab: Displays the notes from the selected account. The notes are only available when a single account code has been selected. You may edit the notes.

  • Custom Tab: Displays the custom fields for the selected account. The Custom fields are only available if a single account code has been selected. You may edit the Custom fields.

  • Categories Tab: Displays the category fields for the selected account. The Categories tab is only available if a single account code has been selected. You may edit non-hierarchical category codes.

Smart Tag Summary

This is only shown when Smart Tags have been installed. Opens the Smart Tag Summary window for the selected transaction account.

View Nominal Transactions

Displays the transactions for all years and periods, up to and including the Current Period, as selected on the Nominal Summary window.

View Nominal Transactions for Current Period

Displays all the transactions for the Current Period as selected on the Nominal Summary window.

View Nominal Transactions for Period Range

This option is only available if you have selected to show a period range on the Profit and Loss PTD v YTD window. It shows all the transactions for that period range.

View Turnover

Opens the turnover window for the selected account or major heading.

Copy Selected Lines to Clipboard / Copy All Lines to Clipboard

Once you have copied to the Windows Clipboard, you are able to Paste into another application such as MS Word

Filter pane

Zero Balance Accounts

The (include) Zero Balance Accounts option enables you to show Nominal accounts that have a zero balance: this can be a useful option because selecting this search filter returns all accounts, including accounts which have not been used during the search period. The option defaults to unticked. The definition of Zero Balance Accounts differs depending on the context of the enquiry, and is explained in each enquiry type, below.

Category Sort Order / Account Sort Order / Category/Attribute

Using the checkboxes in these panes, you can choose the order in which the drill-down between categories will occur, the Category and Account Sort Order, and to filter by Category/Attributes.

Search

This pane contains a number of fields that can be used to define your search criteria. For each field you can choose a particular Search Type (i.e. Range, Begins, Equal, etc.), and the precise criteria. For example, you may only want to view Nominal Names Containing 'Purch'.

Trial Balance

A Trial Balance only checks the sum of debits against the sum of credits. The Trial Balance enquiry is a list of balances extracted for the ledger accounts: it contains the balance of all accounts. It does not contain the value of the closing stock of goods, expenses due but not paid, or incomes due but not received.

The Trial Balance enquiry window displays the current Debit and Credit values for the Trial Balance Major Headings. These Major Headings can be expanded to display the details.

You can choose to View by Year and Period, and by Value-type for particular transactions.

Zero Balance Accounts, in the Trial Balance context, are those where a credit in one period (e.g. C1) has a corresponding debit in the next (e.g. C2) resulting in an overall balance of zero (in C2). As the purpose of the Trial Balance is to report Actual Balance for the selected period, these accounts would otherwise be excluded unless you select to include zero balance accounts.

Profit & Loss

A Profit and Loss statement shows the company's revenues and expenses during a particular period. It indicates how the revenues are transformed into the net income. The purpose is to show whether the company made or lost money during the period being reported.

PTD vs. YTD

The Period To Date (PTD) versus Year To Date (YTD) summary does not include budgets.

The Profit and Loss is primarily concerned with the YTD figures for the relevant Profit and Loss Major Headings.

You can choose to View by Year and Period, and by Value-type for particular transactions.

Zero Balance Accounts, in the PTD v YTD context, are those that have a zero balance in the Selected Period and zero balance YTD.

All Periods

Using the All Periods summary, you are able to view the P&L for the whole year and compare the company's actual performance to the projected (forecasted) and budgeted performance.

You can search on the Account Code, Name, Major Heading, and all categories. You can choose to View by Year, by Period, or by Value-type for particular transactions.

The P&L All Periods > Periods summary always shows 13 periods, even if your setup is for 12 periods. This is to accommodate where you have a 12 period setup for current year and 13 periods for next year (or vice versa). This also allows you to view any adjustments that have been posted into period 13 where you have a 12 period setup.

Additionally, you are able to choose the order in which the drill-down between categories occurs, the category, and account sort order and filter to hide/show zero balance accounts.

Zero Balance Accounts, in the All Period context, are those that have a zero balance and have had no change in turnover during the period.

If you are using Access Office Integration (AOI), you are able to select a budget revision for the summary and, in turn, be able to decide how that budget revision is applied. The Budget used is either the specified budget or the latest budget for each nominal code.

P&L Comparison

The P&L Comparison view allows you to compare actual turnover, forecast, budget, and last year equivalent actual turnover. The basic functionality is the same as the Profit & Loss PTD v YTD.

The available Views are for Year and Period, Budget, Year to Date or Period to Date, and Value-type for particular transactions.

  • You are able to view the P&L for a single period or YTD and compare the performance of the actual and latest (forecasted) budget to the original budgeted performance and last year actual.

  • You can select the budget (or revision) in the search. If left blank, the latest revision is selected.

You are also able to choose the order in which the drill-down between categories will occur, the category and account sort order, and filter to hide/show zero balance accounts.

Zero Balance Accounts, in the P&L Comparison context, are those that have no Actual values or Budget in any of the periods.

12 Month Summary

This view is similar to the Profit & Loss All Periods Summary but allows you to see an overview of performance for the last 12 months. Choose the starting period and view this period and the previous 12. The screen will show the usual Profit & Loss configuration with 13 columns, beginning with the selected period as the first column and working backwards. You can choose to view home or currency values.

If you choose an “as at” period that is later than the current Nominal Working Period then budget values will be shown rather than actual values for all those periods that are in advance of the current Nominal Working Period. These values will be highlighted in red font so that budget values are easy to distinguish from actuals.

Balance Sheet

A Balance Sheet is a snapshot of the company's financial condition. The Balance Sheet has three parts: assets, liabilities, and equity. The difference between the assets and liabilities is known as equity; the basic calculation is that total assets equals liabilities plus equity. Balance sheets are presented with assets in one section and liabilities and equity shown in another, where the two sections balance.

This window displays the Year to Date information for the related Balance Sheet accounts. You can choose to View by Year and Period, and by Value-type for particular transactions.

Budgets entered against Balance Sheet accounts are not retained once a Year End has been carried out. If you want your budget figures to include budgets from previous closed years, we recommend that you add these previous year budget values to the Period 1 budget for the Current year.

Zero Balance Accounts, in the Balance Sheet context, are those that have no Actual values or Budget in any of the periods.
