The Records menu contains two Anticipated Days options: Customer Anticipated Days and Supplier Anticipated Days.

These options enable you to change the Anticipated Days of accounts in the Sales and Purchase Ledgers.

The processes are the same for Customers and Suppliers; any examples used in this topics come from Customer Anticipated Days.

Anticipated Days are stored as part of a Customer's (or Supplier's) Terms.

For Customers, they are the number of days you expect to pass before you receive a payment for an invoice.

The days can be set to be the number of days from the Invoice Date or the Due date. This is an option on the Terms window.

You can enter a figure for the Anticipated days when you create the Customer record and update it as you being to trade with that Customer.

Using the Credit Control module, you can get the system to update the Anticipated days from the transaction history.

For each fully allocated invoice, the system calculates the number of days between the invoice date or the due date of the transaction and the allocation date of the transaction. The system then calculates the average of these values. The calculated average days is then written back to the Anticipated Days fields for the account.

You can record and update the information about Anticipated Days in the same way for Suppliers.

For a Supplier, Anticipated Days are the number of days you expect to pass before you make a payment for an invoice.

Information about Anticipated Days will help you to forecast your cash flow.

Anticipated Days Search window

Clicking the Display icon on the search window will populate the Anticipated Days window with accounts that match any criteria that you enter in the fields on the window.

You can enter search criteria to select records by Customer Code or Name; Sort Key or Credit Controller ID.

Clicking the search icon alongside any field will display a list of codes or values from which you can select an item to populate the field.

When you have entered the criteria that is to be matched, click the Display icon to activate the search and populate the Anticipated Days window.

Searches can be saved using the Save Search feature and retrieved for use by clicking the Select Search icon.

Clicking the Clear icon will clear the fields on the search window.

The Search window can be re-opened from the Anticipated Days window by clicking the Search icon.

Anticipated Days List window

When the search is activated, this window will display a list of the records that match the criteria you have entered.

The list can be sorted by any of the columns by clicking on the column header.

All accounts that match the search criteria are displayed with their Code, Name, Balance, Turnover and Credit Limit.

If a Credit Controller has been assigned to the account, the ID of that User will be shown.

The current Due Days and Anticipated Days are displayed along with the date of the last invoice and last receipt that were posted to the account.

Updating the dates and chase status of a transaction

Locate the records that you wish to update and change the process status from NO to YES.

Selecting lines in the list and clicking the select button will switch the process status of the lines from NO to YES and vice versa.

The select all button will switch the process status for all lines in the list.

The process status can also be changed with a double click.

Only the lines that are set to YES will be processed.

When you have selected the lines you wish to update, click OK to run the update process.

The Customer Anticipated Days Process Options window will be displayed.

Displayed when you select OK on the Anticipated Days List window, the Process Options window enables you to change the Due Days and Anticipated Days on the selected Customer or Supplier records.

The window has two sections:

Due Days

Do not amend days - Select this option to leave the Due Days unchanged.

Set to fix no. of days - Select this option to update the selected records to the number of days entered.

Advance by no. of days - Advance the current Due Days by the number of days entered.

Anticipated Days

Do not amend days - Select this option to leave the Anticipated Days unchanged.

Set to fix no. of days - Select this option to update the selected records to the number of days entered.

Calculate days from transaction - If this option is selected, the system will use the transactions in the date range that you enter to calculate the anticipated days for each record.

For each fully allocated invoice within the given date range, the system calculates the number of days between the invoice date or the due date of the transaction and the allocation date of the transaction.

The system then calculates the average of these values.

The calculated average days is then written back to the Anticipated Days fields for the account.

OK When you have made your selection, click the OK icon to update the records.

The Process Options window will close and you will be returned to the Anticipated Days window.
