Post Batch
Please be aware that if a Purchase Ledger transaction is batched and uses an Analysis record that has been flagged as an accrual, then if the attribute flag is removed and the transaction is posted the accrual will still be posted for Purchase Ledger transactions and invoices created from Purchase Orders; An error is received when matching order to PIR entries if the order was batched with the accrual flag selected but the PIR entry was raised without it.
The Post Batch option is available from the Transactions menu for both Sales Ledger and Purchase Ledger.
It enables you to select transactions, from the batch, to be posted.
You can also view, edit and delete the transactions.
When the option is selected, two windows are displayed: Batch Selection and Post Batch.
Batch Selection
This window enables you to populate the Post Batch list window with transactions that are ready to be posted.
You should enter selection criteria to make the list manageable.
Enter the criteria that you wish to use to find the transactions that are ready to post.
We recommend that the User Id. search field is used so that Users will be posting their own batches. Enter the ID or select it from the look-up list.
Click Display to list the transactions that match the search criteria in the Post Batch window.
Clear - will clear the selection window so that you can start again with new selection criteria.
Post All Batched Transactions - If selected, all batched transactions that are available for posting will be updated to the accounts without being listed in the Post Batch window.
This option should be used with care.
Generally this function is designed to be used for bulk processing, possibly overnight, only when the orders have been fully checked.
It is recommended that journals are always checked before they are posted.
Selection Criteria
There are a good selection of fields that can be used to select the transactions for posting.
Batch Ref. - Transactions with a particular batch reference can be found if the exact reference is typed in. Leave blank to include all.
Header Ref. - Transactions with a particular header reference can be found if the exact reference is typed in. Leave blank to include all.
Account - Enter the Customer or Supplier account code for which transactions are to be retrieved.
Clicking the search icon will display a list of the accounts from which you may make a selection.
Entering one or more characters in the field and then tabbing from the field display a list of accounts that start with those characters.
Date Range - Entry of a "From" date will only include transactions from and including that date. Entry of a "To" date will include transactions up to and including that date. You can leave both blank or just enter one of them.
Period Range - Entry of a "From" period will only include transactions from and including that period. Entry of a "To" period will include transactions up to and including that period. You can leave both blank or just enter one of them.
Year - The button enables you to select the year to be included in the search.
User Id. - The User ID for the User who posted the transaction.
If it is not used, transactions entered by all Users will be displayed in the Post Batch window and other Users will not be able to access them for posting until the Post Batch window is closed or cleared.
We recommend that this search is used so that Users will be posting their own batches.
Invoices, Credit Notes, Receipts, Payments, Debit Adjustments, Credit Adjustments - These tick boxes enable you to define the types of transactions that should be retrieved.
Receipts - only available on the Sales Ledger batch selection window.
Payments - only available on the Purchase Ledger batch selection window.
