Enter or change the SMTP details for Email

To Change the SMTP Server Details:

  1. Navigate to System Control

  2. Click on Options

  3. Click on System Options

  4. Click on the System Format Tab

  5. Click on the System E-mail Defaults button (blue arrow next to it)

  6. If prompted, type in the password that was set by yourselves previously (if no prompt go to step 7)

  7. Click on the button marked with the red arrow (SMTP Servers)

  8. Amend the address, port number and flag if SSL is used or not (X is a yes, blank is no)

  9. Save the changes using the Save button. This will then revert to the previous screen. Click the Save buttons on subsequent windows until the System Control window has closed

To enter the SMTP details for the first time:

  1. Navigate to System Control

  2. Click on Options

  3. Click on System Options

  4. Click on the System Format Tab

  5. Click on the System E-mail Defaults button (blue arrow next to it)

  6. The first time this is clicked on, a prompted to enter a new password will appear

  7. This password is stored in SYS_DATAINFO.EMAIL_ENCRYPTION_PASSWORD. It is stored in encrypted form so it will not be seen it in the database. N.B. The password set here has to be acceptable to Dimensions (e.g. no punctuation marks) and also meet the password policy requirements set on the SQL Server.

  8. Having created a password, the next stage is to create a list of SMTP servers

  9. Click on the button marked with the red arrow (SMTP Servers)

  10. Enter the name, address, port number and flag if SSL is used or not (X is a yes, blank is no)

  11. Save the entered details using the Save button. This will then revert to the previous screen

  12. Click on the New Users button (face icon) to add the credentials used by the SMTP server to send e-mails

  13. Enter the details of the e-mail ‘Sender’ – i.e. [email protected] it must be a valid mailbox as your customers might reply to this address and a name for the sender

  14. Tick the Copy E-mail to box and enter in the name of a recipient if a copy of each e-mail that is sent should be sent to someone else. This can be used as a way to copy of what was sent as emails from here don’t appear in outboxes

  15. Click Save on this screen

  16. Now select the new SMTP Server from the list and then the user for that SMTP Server as previously set up. Note: that these details are now set as the defaults.

  17. Press the Save button when completed.
