The Aged Debt Enquiry screen

An overview of the Aged Debt Enquiry screen, covering how to access it directly from the Debtors module or from a specific customer record, and how aged transactions are displayed and grouped by configurable ageing periods.

All our enquiries and record lists share the same screens and the same functionality for consistency purposes. For more information on the layout and functionality of the screen, please refer to Sales Transactions Enquiry screen article.

There are two different ways to get to the Aged Debt Enquiry screen, one through the menu options and another from a specific customer.

Access the Aged Debt Enquiry directly from the Debtors module

  1. Click Debtors then click Aged Debt.

  2. Note: The Aged Debt screen opens listing every aged transaction for all customers on your sales ledger. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal lines and choose from the available filter list, then click OK.

Access the Aged Debt Enquiry directly from a customer

  1. Click Debtors then click Customers.
    Note: All customers are displayed. You can narrow down you search using advanced filters. You can also search on the columns directly by pointing the mouse to the name of the column and click on the 3 small horizontal lines and choose from the available filter list, then click OK.

  2. Select the checkbox in front of a customer you wish to see the aged debt transactions for.
    Note: The Action Panel automatically opens from the right-hand side of the screen.

  3. Select the Aged Debt card to open the Aged Debt screen opens listing every aged transaction for the selected customer.

The Aged Debt Enquiry shows the current customer's aged analysis and the ageing periods reflect your selection in ageing method in system options.

You may have chosen to age your debtors balance by months or a different breakdown of days:

  • Up to 30 Days

  • 31 - 61 Days

  • 61 - 90 Days

  • 91 - 120 Days

  • 121 - 180 Days

  • Over 180 Days

Or

  • This Month

  • Last Month

  • Two Months Ago

  • Three Months Ago

  • Four Months Ago

  • Over Five Months Ago

You can set a transaction on dispute by selecting the checkbox against the transaction on the On Dispute column and selecting a query reason.

To remove the dispute flag, click on the selected checkbox against a disputed transaction. If the on-dispute column is not displayed as a default, you can add it through the Configure Columns under the cog icon.
