To Batch or not to Batch a Sales Order
When entering Sales Orders and Sales Credit Notes, one of the main decisions that you must make is whether you want to process the transactions immediately or send them to a batch and process them later.
Process transactions immediately
If you process them immediately, this will process the whole order at once and you will have the option to:
Print an Order Confirmation - this option must be selected in System Options - Documents before the transaction is entered.
Print a Delivery Note - this may be unavailable if you have selected to use combined Delivery and Invoice documentation in System Options - Documents.
Print a Sales Invoice/Credit Note.
The transaction will update the Stock module, the Costing module, the Sales Ledger (Customer Account and Analysis Code), and the Nominal Accounts for the Analysis codes used in each Detail line.
If you have selected the transaction options: Enter Receipt Now and Allocate Transaction Now, you will be able to:
Create a receipt transaction.
Allocate this receipt to the sales invoice.
See Transaction Options for more information.
If you require a Picking List, you must batch the Sale Order and process it from the batch.
Printing - you will be able to select the printer and print setup for each document, so you can load special stationery if required.
Batch the transactions
If you select to send them to the batch, using the Batch Order transaction option, they will stay in the batch queue until they are processed, using the Process Batch function.
If you have selected the transaction option Automatically Allocate Stock, stock items will be recorded as allocated; reserving the stock and making it unavailable for other orders. See SOP/POP Transaction Options.
The transactions can be processed from the batch as a whole or in parts using the Detail function icon.
The transactions can be amended whilst in the batch and have detail lines deleted or added.
When transactions are processed from the batch, as a whole or in parts, you will have the option to:
Print a Delivery Note and/or update the delivery. This may be unavailable if you have selected to use combined Delivery and Invoice documentation in System Options - Documents.
Print a Picking List.
Print a Sales Invoice/Credit Note.
Update the accounts from the Sales Invoice or Credit Note.
Printing - you will be able to select the printer and print setup for each document, so you can load special stationery if required.
