Company - Snapshot

Opened from Company Details, the Snapshot window displays an overview of Sales and Purchase Control Accounts, plus Bank Accounts (including Future Period postings) as shown on the Cash Book Screen.

This window can also be opened automatically every time that Access is launched for Users with Master Status.

It also shows the Stock Valuation as at a date, and provides a facility to re-value Stock.

Chase Report

Enables you to produce a list of Sales Invoices that are overdue when comparing the Due Date of the Transactions to the System Date.

It has two formats:

  • A straight list of Transactions that are overdue.

  • The same Transactions subtotalled by Customer, showing Contact Name, and Phone number. This is activated by selecting Contact Details.

You can select to show the Home Values only, Currency only, or both.

As usual, the report output can be set to Screen, Printer, or a spreadsheet File. If you have the hardware and software facilities, you can also output the report to FAX.

Cash Flow Forecast

Enables you to produce a Cash Flow Forecast based on the Anticipated Pay Dates of Sales and Purchase Invoices, added to the current Bank Balance.

The report can be varied to look at Days, Weeks, or Months ahead.

By default, the Forecast will just show the basic information, but you can selectively add Transactions.

Changes option

This option enables you to print a report of all new Records, or changes to Records, that have been made within a selected number of days before today’s date.

This report can be printed regularly as an Audit record of the changes made.

You should enter the number of days into the past on which you wish to report, starting from today.

You can choose between a Summary report, and a Detailed report.

Validate option

This function carries out the checks on your accounts and displays a window giving the results:

  • Does the Sales Ledger Customer Balance equal the Sales Ledger Control Account?

  • Does the Purchase Ledger Supplier Balance equal the Purchase Ledger Control Account?

  • Does the Trial Balance balance?

A message in the window warns you if the check fails, and you should immediately check for the reason that the error has occurred.

If any error is reported, you MUST investigate immediately.

Remember that you should run a Trial Balance and check your Control Accounts regularly. If problems are occurring or have occurred, the quicker you know about them, the easier they are to track down and the less remedial work will be required. An error that has remained undetected for months can take a lot of work to identify and to correct, particularly if it spans several accounting periods.

Snapshot Stock Valuation

This shows the Stock Valuation and the date that it was carried out. Clicking the button will display a further window showing the three valuations, and a button which allows you to re-value the stock again.
