Create Purchase Analysis Codes

You can create a new Purchase Analysis record to categorise and report on purchase transactions.

  1. On the Creditors tab, click Analysis. This opens the Analysis Record window along with (depending on user preferences) a list of all your Active Analysis Records, showing the Analysis Code / Description / Debit and Credit and VAT Nominal Updates.

  2. Click Insert to start a new entry.

  3. In the Code field, type a unique analysis record code. This can be a mixture of numbers and characters.

  4. In the Description field, type a friendly name for the new analysis record.

  5. If required, various other fields can be populated:

    • Sort Key: An optional value used for filtering or reporting.

    • Compulsory Costing: When ticked this forces any transaction against this Analysis to use a Project and CostCentre code(s).

    • Updated Landed Costs: This is used for Purchase Order Transaction Detail Lines, for Stock Items flagged as Sub Analysis; which use this Analysis Code to update your Landed Costs details.

    • CIS Taxable: This is used to record taxable costs under the Construction Industry Scheme (CIS). This indicates that tax should be withheld from transactions posted using this Analysis if the Supplier's Tax Status indicates.

    • VAT: Click the magnifying glass to select the applicable VAT rate for this analysis code.

  6. Check the Currency. By default this is set to your database's home currency. To use a different currency, type a valid currency code or click the Magnifying Glass icon and select from the trading currencies list.

  7. 📌 Note: If the nominal code has a different currency to the analysis record, a warning appears. Transactions posted using this code will not update the currency balance or turnover for that nominal code.

  8. For Nominal Ledger Control Accounts, tick the Allow Analysis Control Accounts to be Any Currency option. This allows a control account of a different currency to be selected.

  9. In the Nominal Update Accounts section, type the Debit, Credit, and VAT Nominal Accounts to be updated on the double-entry when a transaction is posted against this analysis code.

  10. 📌 Note: You can also specify a Default Cost Centre, which fixes the cost centre to this code whenever a transaction is entered against it.

  11. On the Analysis Window you can specify the Analysis Type. The available Analysis Types are:

    • Purch. Analysis: Used for Invoices and Credit Notes.

    • Discount Analysis: Used for Discounts on Purchase Invoices.

    • Bank Analysis: Used for Receipts/Payments to your Balance Sheet/Bank Accounts.

    • Stock Analysis: Used for Stock Movements/Delivery of Goods Sold.

  12. In the main ribbon, click Save.

  13. To set the new record as the default analysis code for Purchase Analysis types, click the Default (red pin) icon. This replaces the previous default.

📌 Note: A Dimensions database can only have one default Sales Analysis or Purchase Analysis, and one default Bank Analysis (one for Sales Ledger and one for Purchase Ledger).
