Movements

Stock Movement transactions are entered into the system in the same way as other Transactions.

Header

Adjustments

Generally Stock Movements fall into one of five categories, clicking on the Adjustments menu bar will display a pull down menu of Movement Types for you to choose from:

  • Sales

  • Purchase

  • Write Offs

  • Adjustments

  • Opening Balances

Clicking one of these Movement Types will copy it into the Movement where it can be displayed and searched for in reports.

Note that this is independent of the In/Out selection on the Detail window.

If the Transaction Option Adjust Landed Cost Values has been selected, then this menu will be preset to Landed Cost, and no other options will be available.

Reference

It is not essential to enter a reference and it does not have to be unique.

Date

Enter the date of the transaction. This field will default to the system date.

Description

If a description is entered, it will be copied into the Description field of each detail line of the transaction. This will give you a starting point and the description can be amended or added to for each line as it is entered.

Tabbing from the description field displays the Detail entry window.

Detail

Tabbing from the Header Description field, or clicking on the Detail button on the Header window displays the Stock Movement Detail window.

In/ Out

The same Detail entry window is used for Movements In and Out. You toggle each Detail window by selecting from the pull down menu.

Stock movements that record the transfer into stock of assembled stock items are dealt with using a different function. See Assembly Movements. This function can be used to build a stock of Assembly items, or to set up opening stock, or to adjust stock levels. However, the system cannot move out assemblies that include Sub Analysis or Serialised Stock. You may use the standard Stock Movements option to manually disassemble such items.

Entry of a Stock Code will display the relevant description as a visual check you have entered the correct Code.

If you leave the Code blank and press tab, or click on the button, a Stock Records selection list window will be displayed.

If the Stock Code you have entered or selected has been flagged for Serial Number tracking, or has a Sub Analysis, additional fields will be displayed.

When a transaction is entered in Stock Movements then the system defaults to the specified sub analysis. The system will validate the sub analysis records for the stock code that has been entered. If it is not valid for the stock code then the sub analysis list is shown where you can select the code you want.

If a Serial Number item, then the Serial No. entry field will be added to the detail window.

Movement Totals

This button is only available if the default Combined Detail and Totals Window is switched off from System Control. If this option is selected then the totals details are displayed in the lower section of the window.

Clicking the Totals button on the Header window or on any part of the Totals window, visible beneath the Detail window, displays a summary of all Detail lines already entered.

Single clicking a line on this window will display further information relating to that movement Detail line at the bottom of the window.

Double clicking on a line will return to the Detail window and display that line, allowing it to be edited.

Availability

This option is available when using Assembly Movements only:

This button allows the Availability Report to be printed without leaving the Movements windows. The report can be printed for a single line or for all Detail lines. The standard Output window is displayed for selecting options to include in the report and where the report is to be printed to.

Movements (In)

If the Qty. entered is greater than 1, the Serial Number Entry widow will automatically open, so that you can enter or generate the required number of Serial Numbers.

If you are using the Quick Entry mode, you can simply type in the Serial Numbers, tabbing through the fields. In this case you can use alphanumeric numbers, they do not have to be sequential.

If you are using the Detailed Entry mode, shown below, the numbers will be generated based on the First Number.

N.B. The Default Serial Entry Mode can be set in Stock Options - Records tab.

The window will be populated with a sequence of Serial Numbers based on this First Number and the quantity entered. If a Prefix or Suffix has been entered, they will be applied to each, as in this case.

You may view/edit the additional information and Serial Numbers in the lower part of this window.

When you have set these details, click on the Add function, and the Serial Numbers will be generated and shown in the window.

If the Serial Numbers are not in any sequence, you can enter them individually in the lower part of the window, tabbing through all the fields (as in the Quick Entry mode). Do not click on the Add function..

You can add further details to the Serial Numbers in the lower part of the window. If adding a lot of information, you can simply tab through the fields, while if you are entering or changing one or two fields, click on Update Details to put the details into the top part of the window.

There is an additional option in this window called Exclude from SOP. If selected then the Stock is flagged and is not available to you through SOP Orders.

When you have set up the details, click on OK, and you will be returned to the Detail window.

If more than one Serial Number has been entered then the text ‘<multiple>’ is shown in the Serial Number field. The Serial Numbers will be shown on the Purchase Order and on the goods received note.

Movements (Out)

If the Transaction option Always Select First Serial Number is ticked, only the first Serial Number in the list for the Stock item (or Sub Analysis code), as determined by the e-tab definition of First Serial Number Method:, is entered into the Serial No. field.

If you have entered a number greater than 1 into the Qty. field, the Serial Number Selection widow will automatically open, so that you can select the required number of Serial Numbers.

If this is a Sub Analysis item, then the Sub Analysis entry field will be added to the Detail window:

Sub Analysis must be entered if prompted, tabbing when the field is blank or clicking the function will display a list of Sub Analysis available for the Stock Code you are entering.

View the details in the list and select from it by double clicking, or single clicking and clicking on OK.

If you are using ADM (Access Document Management), the external documents function will be available.

You will only be able to attach one document at a time and the document will be attached to the first of the currently highlighted serial numbers.

The serial number line does not have to be toggled to Yes and if multiple lines are highlighted, the first serial number will be selected.

Quantity/ Cost

When entering a stock transaction, stock items can be selected from the Stock Record list window.

When analysing stock movements to costing:

  • a stock movement out will reduce the stock value and increase the Project costs.

  • a stock movement in will increase the stock value and reduce the Project costs.

Available - the quantity currently in Stock is displayed above the Qty input field. Clicking the adjacent drill button displays a window detailing the quantity Ordered (in), Reserved (out) and the Free Quantity.

Qty - you are prompted for the Qty, unless Serial Numbers are entered, in which case each Detail line is restricted to moving one item at a time. The Quantity actually moved in or out is calculated as (Quantity * Unit of Measure). Enter the quantity you require; the default is 1.

Price - the Price defaults to Price Line 1 of the Buying Price Table for movements In and Out (as most movements do not result in a profit or loss, so just the cost price is recorded against the transaction by default). Clicking the adjacent lookup button displays all ten Selling Prices or Buying Prices from the stock record, depending on the direction of the movement. An alternative Buying Price Line can be selected as the movement price. Selling Price Lines cannot be used as the movement price, but the Selling Price Table is still available for reference (if movement Out is selected from the pull down menu). If you select a Selling Price from this table, Price Line 1 of the Buying Price Table will still be saved against the transaction. The price displayed or selected can always be manually overwritten with any price of your choice.

Cost - if Costing is not required you can ignore these fields, or you may enter Project and Cost Centre Codes. Clicking the adjacent lookup button displays a Projects selection list window.

The Compulsory Costing option is not relevant to Stock Movement Transactions, as they do not use Analysis Codes, and are not posted to Nominal Accounts.

Detail - The Detail description field will always default to any text that has been entered in the Description field on the Header window, but can be overwritten with any other text of your choice.

Workflow Forms on Transactions

Any WFF associated with the transaction will automatically display as a popup window for initial entry. Existing WFF can then be edited by clicking on the Workflow Form button. If no WFF is associated with the transaction, the window will not display.

WFF can be attached to:

  • The transaction Header - the WFF will display on initial tab off, and can also be opened by clicking the Workflow Form button.

  • Transaction Detail lines - the WFF will display on initial tab off to a new line, and can also be opened by clicking the Workflow Form button.

  • The transaction Save - the WFF will display when clicking Save.
